users and alias
Hi, I have a user on a network I just took over ..... she has a login in the AD ( Laurie Smith - LaurieS ) but in the Exchange 2007 console she's setup as Laurie Smith in the display name but then her Alias is NOT LaurieS it's showing as "cindy" and her Primary SMTP Address is set as cindy@mycompany.com how can I fix that and keep all her mail? Can I rename that account or something? Or should I just back everything up and re-create the account and then put the old mail back in each folder? Can I do that ? Cheers' Dave

Hi, seems you have enabled "automatically update e-mail addresses based on address policy" using the email address policy. Default the configured alias is used to generate the maiaddress. I would prefer to disable automatically update e-mail addresses and configure the address cindy@mycompany.com by yourself manually. Sounds to me like someone simply renamed an account rather than created a new account for the new user. Not something I do myself, but I see it done particularly when someone directly replaces another. If you rename the alias then you will cause problems internally for any email that the user sent prior to the change. My preference would be to create a new account, with the correct alias etc, then replicate all permissions, groups etc to the new account. Hide the old account from the GAL and set it to forward to the new account. Then move the email between the two mailboxes. That usually means PST files, but depending on the amount of email you could just open both mailboxes in Outlook and move the content that way. The SMTP address can be changed, keep the old one on the new account though, but not as the primary, that way old email will continue to work correctly. Hi Sembee, Yep, I'm pretty sure thats what the old IT guy did, renamed it. - So leave her account in the AD alone and go to her PC and backup the exisitng mail to a PST. - Then via the Exchange Mgmt console on the server I can use the wizard to set up a new account for that user. ( Will it give give me the correct alias or do I need to set that myself? ) - Once I have her new acct, match the perms and groups. - Lastly piut her old mail back in to the outlook by importing those PST's - right? What happens to the existing mail acounts that are in the users Properties now? If I go to Laurie's properties and open E-Mail Addresses, it shows her correct e-mail address now as well as the old ones from the cindy user. Shoud I remove all those addresse's in that account? - cc:mail / MS Mail / SMTP / x400 all have the right ones for Laurie and also the old "cindy" addresses that match this alias now. Cheers' Dave

Hi Peddy1st, I think the old IT guy just re-named that cindy account so Laurie could use it. We want to get rid of the cindy stuff and just keep Laurie running without that cindy addresseing in it. If I go to her PC and backup all the old mail to PST's. Can't I just delete and remove that old cindy account and mail compleately and then just make a brand new account for Laurie again and import all those backed up PST back in to her new outlook profile (mail account) ? Hi, For account, I think you may need to create a new windows profile and then setup new Exchange account there. After that, you can import pst to the new exchange account profile. By the way, how are you going to deal with the messages which would route to cindy@domain.com? I think we may need to keep the address associate with the account for some times with disclaimers which can tell senders to send email to LaurieS@domian.com Xiu Zhang TechNet Community Support

If you set a forward on the old account to the new account, then you do not need to worry about anything other than the email address that belongs to the user - So Laurie. Hi Sembee ! First off - thank you for the advice ! So these steps listed below will work - right ? - So leave her login account in the AD alone and go to her PC and backup the exisitng mail from that old cindy account to a new PST. - Then via the Exchange Mgmt console on the server - create a new account for LaurieS. - Once I have made that new acct for LaurieS, match the perms and groups that she had when she was using cindys account. - Lastly import the mail from the PST's I created in to her new profile in Outlook. - Forward mail from the old Cindy alias account to LaurieS new exchange account. The only step you are missing is to move the SMTP address for the actual user to the new account, leaving the SMTP address for the old user behind. I would also hide the old account from the GAL, so it doesn't cause confusion. Change the display names back to the old user name so that you know what it was.
