Hi i am looking for some solutions for our server lack of activity! the server is very full apparently and we need to delete items. I have been around each workstation and set autoarchives preferences (messagesolder than 6 months) into each Outlook. here is my first question: other members of staff seem to believe that the archive folders still stays on the mailbox. I think differently and think the mailbox is information on the server but the archive folders stay on the workstation (currently C drive).cansomeone please confirm this? next I set for the deleted itemsfolderto empty each time you exit outlook. WISH1:- would like to set a rule at server level to delete all messages in each mailbox sent folder which is over 7 days old. How do I do that? WISH2:- can the emptying of the deleted itemsfolderbe set up at server level? as we are growing and have satellite staff it would be a nice little luxury! WISH3:- can I set up autoarchiving preferences at server level/ after all this tidying up which is good practice, can you tell me if the size of the mailboxes is why the servers keeps going of line? The AutoArchive preferences are set on the client-side, not at the server. I think that you can use the ADM files for Office (from the Office Resource Kit Tools) to centrally configure all clients using a group policy object (GPO), but that is more of an Active Directory thing than it is an Exchange thing. Depending on the version of Outlook you are using, visit the http://office.microsoft.com site and look for the Office Resource Kit. Then download the tools and get the ADM files for the Office applications. You should then work with whomever manages your Active Directory in order to deploy a group policy (GPO) that affects your Outlook clients. Once something is archived from a user's mailbox (using the Outlook AutoArchive) feature is pulled OFF the Exchange server. You can also automatically empty people's mailboxes using a Mailbox Manager recipient policy in Exchange 2000/2003. I recommend you start with this KB article and read it thoroughly. http://support.microsoft.com/kb/319188 Mailbox Manager is a very powerful feature, but it can also clean up a lot of mail that you did not intend to clean up.
