exch 2003, outlook 2010, remove archive data/folders
Good morning all, my apologies if this is in the wrong area... One of the guys here at work recently got a new computer, W7P and Off2010. We use Exchange 2003. He was previously on POP mail, and had a number of archive.pst files also. I exported the main mail .pst file from the old machine, and imported it into the new machine, which pushed the data up to the exchange server, as was expected and required. This then duplicated the folder structure onto Exchange, and also onto the associated Exchange account on the users iPhone. All went well up to this point. However, I made the mistake of IMPORTING the archive.pst files, rather than OPENING them. So, there is about 12GB of excess data on the Exchange server, and multiple replicated folders appearing on the iPhone. It's obviously not an iPhone issue as such, as the iPhone is just mirroring the Exchange server. I have "closed" the archive folders in O2010, and "opened" them instead. So the user is happy with the function of Outlook. However, I need to know how to remove the data and folder structure etc of the archive files from the Exchange server, without destroying the active data and folders etc... Any assistance greatly appreciated, and am happy to provide more info if required.

Hi winaje, If the use created archive.pst files based on the age of items, you can try to use Autoarchive to Automatically move or delete older items: Automatically move or delete older items with AutoArchive http://office.microsoft.com/en-us/outlook-help/automatically-move-or-delete-older-items-with-autoarchive-HA010354967.aspx For duplicated folder structure, seems like you have to manually delete the folders.Frank Wang TechNet Community Support

Hi winaje, Any updates? Frank Wang TechNet Community Support Hi Frank, sorry I haven't updated. I haven't had a chance to try your fix as yet. I'm a bit unsure of how to "manually delete the folders" as they are not visible in Outlook client, or in Outlook Web Access. They must be there though, as they are still appearing on the iPhone. Can you please advise the procedure for deleting these folders from the Exchange mailbox?
