canceling meeting doesn't clear Room
Hi Gordon, I think it is by design because the “Cancelation” action is working on the Public folder but not on the Room mailbox. To free up the time from a room mailbox, it is recommended to ask the meeting organizer who book the meeting cancel it via an meeting updated; or delete the meeting from the shared calendar folder of the room mailbox. Doesn't seem like this could be by design. I mean if the meeting disappears from the Public Folder and the attendees calendars, what purpose would leaving the Room booked for a meeting that no longer exists anywhere else? This is either a setting that's not right, or it's a bug. I'm trying to think of how to explain to my 23 users why it makes sense that they have to find the person who originally booked the meeting and have that person cancel the meeting in order to free up the room. Or after cancelling the meeting, other users have to go delete the appointment from the room manually (or find someone with permission to do that). I'm not trying to rant, I'm trying to think this through. What's the purpose of this behavior if this is by design?Gordon Prince * (901) 761-3393

I get the same behavior on the production system that I get on my development system. Create two users and one room (the room is a room type mailbox, not a public folder). Create a meeting for user1 and the room. The meeting shows up on user1' calendar and on the room's calendar. Have user1 cancel the meeting. The meeting disappears from user1's calendar and from the room's calendar. Create the same meeting and have user2 cancel the meeting. The meeting disappears from user1's calendar, BUT NOT FROM THE ROOM'S CALENDAR. If you get different behavior, please let me know. Thanks. Gordon Prince * (901) 761-3393

You're optimistic to say its behavior is by design. I say it's a bug. When the meeting is canceled, the attendees' calendar items are either set to "Free" or the item is deleted, depending on their settings. Either way, they are once again available to be scheduled for other meetings. The item is not changed, however, on the Room's calendar. So the room cannot be booked for something else, even though the meeting has been canceled. Clearly this is a bug, not something done on purpose.Gordon Prince * (901) 761-3393

Hi Gordon, I have built a lab and below is my test result: A. Organizer created a meeting in a calendar folder in Public Folder, invited attendee1, attendee2 and a meeting room mailbox (no the organizer itself in te To field). Received accepted message from room mailbox. B. Checked and found the meeting does NOT display in the organizer's calendar folder. C. Let attendees accept the meeting request, and then let attendee1 delete the meeting from Public folder calendar: The meeting disapeared from the calendar folder in the Public folder; The meeting kept displaying in Attendee1's calendar; The meeting kept displaying in Attendee2's calendar; The meeting kept displaying in Room mailbox's calendar; I have double confirmed the above test result, so I believe the things you are encountering is by design. Well, it is the first time I hear that it is called a Bug. Anyway, your concern will be forwarded to our product department. Based on the current situation, I'd suggest you follow the instruction in the above link and ask the meeting owner to delete the meeting. This is because that, if every one have permission to delete the meeting created by others, we are not able to make sure the meeting we scheduled will be hosted on time and the attendees we invited will be present as we expected. Hi Gordon, Sorry for the delay response. I am suspecting the meeting disapears from attendees folder automatically. We can make a test that create two users, no any delegation. and then try to reproduce this issue. Hope it is helpful.Fiona Liao TechNet Community Support

I've got an Exchange 2007 SP1 Public Folder that has Calendar items in it. A group of users can add Calendar items to this folder. Usually they create Meeting Requests including one user and one Room. Everything is working fine when adding meetings -- items show up all of the Public Folder Calendar, the attendee's Calendar and the Room's calendar. But canceling a meeting is not behaving the way I want it to. If the person who created the meeting cancels it, the meeting disappears from the Public Folder's Calendar, the attendee's Calendar and the Room's Calendar. If anyone else cancels the meeting, it disappears from the Public Folder's Calendar, shows as canceled on the attendee's calendar, but there is no change on the Room's calendar. I've check permissions, including setting everyone to have Owner privileges on the Room's Calendar folder. No effect on the behavior. Is there a way to delete the time from the Room's Calendar regardless of who canceled the meeting? Instead of requiring the person who created the meeting to cancel it in order to free up the Room?
