Several users accessing the one mailbox
We have just moved from Novell GroupWise 5.2 to Exchange 2003. In GroupWise I have several mailboxes that were used for orders. Our customers all used this one Email address and our stores department was able to dip into this mailbox and deal with the orders. All they did was switch to the mailbox deal with an item then delete it. Is there a way to set this up in Exchange 2003 and Outlook? I don't want the mail forwarded to a group of people because then we will get several people actioning the one order. Also is there a way to give a group of users get informed when a new Email hits this mailbox?

Keith, Yes there are actually a few different ways to do this. You can either setup a normal mailbox account or use a public folder to accomplish what you're looking for.... A public folder is fairly straight forward. You simply create the folder, make sure it has the email address you want it to, and set permissions as to who can access the folder and what they can do with that access. Then the user simply browses to it in Outlook without any further adminstrative intervention required. If you use a normal mailbox account, then there are a couple of ways to approach the users' access to the shared mailbox. One would be to setup an specific Outlook profile for that mailbox, set the profile to prompt for credentials which the user would enter, and set Outlook to prompt for which profile to use when starting. Another option is to give the users full mailbox access to that shared mailbox and set Outlook to open the additional mailbox so it would show up in the Outlook folder list all the time. Or perhaps the easiest approach with the mailbox option is to have the required users simply access it through OWA. Hope this helps.
