Set an Outlook/Exchange resource calendar to accept past events
We are using a resource calendar to schedule vacation and sick leave for our department.  We can not get it to accept past events such as sick leave after the event time.  Since most people don't scehdule being sick, it would be nice to allow entry after the event has occured or started.  We like the resource option because that gives the supervisor notifications and authority to decline vacation requests versus a shared calendar which does not seem to include that functionality.

Hi,

If your organization uses Exchange Server, the solution is right there.

It is possible to set the past event up to 180 day and have them accepted but only on the Exchange Server.

So, only Admnistrator can do it or any who has rights and access to such server(s).

Yes, we are using Exchange Server.  Is that a setting in the Calendar so all users can create them in the past or are you saying just the Calendar administrator can do it.  I know I can create them as the calendar Owner directly in the Calendar but the users can not create an appointment in their personal calendar and then invite the Resource calendar if the appointment is in the past

What I meant is:

Such settings can be enabled from Exchange Server only.

Soon it is enabled all Outlook users will access to the settings.

I have just seen this thread which is what I was looking for. We use a shared calendar to book events and resources but when we need to amend an event that has happened it will not update the resource (room) as it is in the past. It just declines.

Your post says it is possible by enabling settings.

We use exchange 2013 (and 2010, slowly migrating all users over)

Can you tell me where the settings are located?

Hi,

I do not know how deep is your MS Exchange knowledge, so I would suggest to look at msexchange.org. they provide excellent guides.

Thank you for your quick reply.

My knoweledge is limited, however we do have a company that provides support for our setup. They however have said it is not possible (this may have just been the person I spoke with on the helpdesk). If you are able to provide a little more information that I can forward to them to either show them where the setting is located or to point them in the right direction that would be great

Hi Alan,

I am actually surprise to hearing that Helpdesk won't help you.

Never the less, I will try make same point forward to help you. On Exchange 2013, there is not problem to set resources to accept past events. You mentioned that you are on the migration process from Exchange 2010 to 2013. So, the only reasons why the such events being declines are:

1) permissions level - I haven't studied and learnt Exchange 2013, but permissions set to access resources mailbox may not work on Exchange 2013. It need to be investigate by Exchange Administrator. Even Junior Administrator should know, how to edit resource from Exchange Console. However; I attached a link where such steps are explained.

2) either resources mailboxes or users mailboxes are on different servers - When we migrate to newer version, same mailboxes are hosted on older server, same on new one. it make create a temporary communication "glitch", where newer server not allowing replicate permissions from old Server (Exchange 2010).

Ask Helpdesk to identify permissions first on the Resource Mailbox.
