Room Mailbox not deleting canceled meetings
I have converted some mailboxes from E2k3 to E2k7 and converted them to Room mailboxes. I turned on AutoAccept and that is working fine. I get the reply accepting the meeting. However, when I cancel the meeting, it does not delete the meeting from the room calendar. It just marks the meeting as 'Canceled'. Is there a way to have it automatically delete the meeting when it is canceled? I believe on the room mailboxes I created in E2k7 that is the behavior. It is because these were converted? Thanks.

Hi, If possible, please get the configuration information of the Room Mailbox and post it on the forum. Get-Mailboxcalendarsettings identity user account |fl Additionally, I would like to confirm whether you tested this issue on the new Room Mailbox. I am also glad to share the steps about how to migrate resource mailboxes [auto accept agent based resource mailboxes] from exchange 2003 server to exchange 2007 server in order to ensure what you did previously was right. 1, Unregister the Exchange 2003 Auto Accept agent-based resource mailboxes from the Exchange 2003 store. To unregister the exchange 2003 resource mailboxes, please use the following command: cscript RegisterMailbox.vbs /u /m:"Room1@ Contoso.com" 2, Move the resource mailboxes from the Exchange 2003 server to an Exchange 2007 server that has the Mailbox server role installed. A, From the exchange management console, please find the resource mailbox under recipient configuration B, right click the resource mailbox and select move mailbox C, then specify the destination server [exchange 2007 mailbox server], storage group and mailbox store for the resource mailbox. 3, Convert the Exchange 2003 Auto Accept agent-based mailbox to an Exchange 2007 room mailbox. After the resource mailbox had been moved to exchange 2007 server, it is displayed as user mailbox. We need to convert it as room type. To change it as room type, please use the following command in exchange management shell: set-mailbox room1 -Type Room 4, set the new Exchange 2007 resource mailbox to Auto Accept After convert the mailbox as room type, we need to configure the calendarsettings for the mailbox as autoaccept. Please use the following command in exchange management shell: set-mailboxcalendarsettings room1 -Automateprocessing AutoAccept Thanks Allen

Following is the information you requested. The only thing I didn't do on this particular mailbox was unregister the autoaccept on E2k3 before I moved the mailbox. I didn't see that step until it was too late. Hi, After going over the settings information about the Room Mailbox, I didnt find abnormal configuration. It seems that the issue occurred the step about unregister Auto Accept agent. Please understand that to upgrade Exchange 2003 Auto Accept agent-based resource mailboxes to Exchange 2007, unregister the Exchange 2003 Auto Accept-based resource mailboxes must be done. Otherwise, it will cause the conflict due to Auto Accept feature already is integrated with Exchange 2007. Now I suggest we create a new Room Mailbox to check whether we can use it without any issue. Thanks Allen

I am also having the issue of a cancelled meeting not being automatically removed from the calendar. Someone can then schedule a meeting in that time slot and it is labled as cancelled, but must be manually removed from the calendar. Autoaccept and updates are fine. Below is the EMC information on the resource, anything look out of the ordinary? This resource mailbox was not migrated from an exchange 2003 resource. It was a newly created room mailbox after our exchange migration was completed. Thank you for any help. I got the same problem here with my Exchange 2007 not migrate rooms or equipment mailbox. The Auto-accept works fine but the cancelled meeting does not remove himself. I wonder why i could not find any valuable information about this situation in any forum or help site from Microsoft.

That behavior is by design, it stays as cancelled but time slot is free. OL2000: (CW) Cancelled Meeting Remains on Resource Account Calendar http://support.microsoft.com/kb/235904James Chong MCITP | EA | EMA; MCSE | M+, S+ Security+, Project+, ITIL msexchangetips.blogspot.com

I have been trying to find a way to do this with the "Search-Mailbox" cmdlet, but I am at a loss. It seems the word "Canceled" is actually not in the subject line of the meeting even though it is diplayed that way in Outlook. I tried the following command syntax Search-Mailbox -Identity resourcemailbox -SearchQuery ("kind:calendar and Subject:" +"Canceled*") -DeleteContent and then more generically: Search-Mailbox -Identity texaspacific.cr -SearchQuery "Canceled" -DeleteContent Neither one of these worked. However, if I used some other part of the original subject line, both of these options worked. So, I dumped the MSG file and edited it with Notepad and It seems that the word "Canceled" is in some parts of the message, but nothing that is searchable (subject, body, content). This "feature" from Microsoft is really annoying my users. We have conference rooms that can have 3-6 cancellations in overalapping time-slots. The calendar is cluttered and it is impossible to see what is really going on. There must be a way to clean this junk up. Can anyone provide a workable solution?
