Retention Tag not working on Outbox

Hi

We are running Exchange Server 2013 CU5 on Windows 2012 with Outlook 2010 SP2

We have configured Retention Policy and Retention Tags which are working on all folders - except the Outbox folder

I know email should not be stuck there but we need the tag to remove messages (which while in the Outbox they have been sent just not moved to the Sent Items folder)

When a message in that folder is opened, the Retention Policy information at the bottom of the message is missing

any ideas?

Hi shaptoni,

Thank you for your question.

By my testing, the Retention Policy information didnt show at the bottom of the message.

If we want to know if the Retention Policy apply to mailbox, we could run the following command:

Get-Mailbox <mailboxname> | Select RetentionPolicy

If there are any questions regarding this issue, please be free to let me know.

Hi

When I run that command the retention policy is displayed fine, the tag detail is below

Get-RetentionPolicyTag Outbox |fl Type,Name,RetentionAction,AgeLimitForRetention,TriggerForRetention

Type                 : Outbox
Name                 : Outbox
RetentionAction      : DeleteAndAllowRecovery
AgeLimitForRetention : 30.00:00:00
TriggerForRetention  : WhenDelivered

The policy works on other folders, it is just this folder which fails to work

Hi shapi,

I am sorry that I misunderstand you case.

Did this issue occur on all users? We could refer to the following steps to check if the issue persist.

  1.        Re-build profile
  2.        Restart the service of Microsoft Exchange Transport and Microsoft Exchange Information Store

Outbox is used to temporarily store messages sent by the user until they're submitted to a Hub Transport server. A copy of sent messages is saved in the Sent Items default folder. Because messages usually remain in this folder for a brief period, it isn't necessary to create an RPT for this folder.

So we should troubleshoot why sent items was in outbox. There are following steps for our troubleshooting:

  1.        Did the issue occur all user?
  2.        The same as former issue, we could rebuild profile to check if the issue persist,
  3.        Check outlook if it is in cache mode,
  4.        Check if there is 3rd party in add-in, we could move it to check if the issue persist,
  5.        We could configure SendOne=0 in register by the following link: http://support.microsoft.com/en-us/kb/948984

If there are any questions regarding this issue, please be free to let me know.

Best Regard,

Jim

Hi Jim

Thanks for your responses, a profile rebuild fixes the issue but we don't want to keep doing that

The Mailbox Servers were restarted which made no difference

The link you included refers to a hot-fix for Outlook 2007 (we use 2010)

I think I may have to create a script to move the items to Sent Items folder on a per user basis
