Resource booking in Ex2K7 SP1 - room declines but meeting is still accepted
Dear all, The scenario: a room resource is configured to automatically accept meeting requests, and not allow conflicts. There is a meeting booked between 1400 and 1600. Now, a user books a meeting in the same room at 1430-1530 (i.e, directly overbooking the existing meeting). The problem: The room correctly declines the request, BUT - and this is where I'm having trouble - the meeting is created in all the attendee's Calendars! Unless the meeting organizer then cancels, or updates the meeting, everyone will assume they are going to a meeting at 1430 in RoomA, when that room is aleady holding a meeting. I have to ask: why is this? IF you are inviting an essential resource (a room) AND that room is already booked, WHY does the meeting get created in the Calendars of all the attendees? Surely the correct behaviour would be that the room simply won't let you book it at all (e.g. try sending a message when you have exceeded your send limit, you cannot). You have to rely on the users actually paying attention to what they're doing, which I'm sure you'll all agree doesn't usually happen. Is there something I need to further configure properly to make sure that if the room declines, your meeting is not sent (and thus accepted) by all the attendees? Thanks for listening! Richard

Hi Richard, I would like to explain that it is designed behavior for Resource Scheduling in Exchange 2007. If you would like to have the meeting get rejected before the meeting request is sent to attendees, I suggest you use Direct Booking instead of Resource Booking Feature in Exchange 2007: For more information: Exchange 2003 Auto Accept Agent vs. direct booking http://msexchangeteam.com/archive/2006/02/22/420275.aspx Resource scheduling in Exchange Server 2007 http://msexchangeteam.com/archive/2007/05/14/438944.aspx Note: You can check the Feature Comparison section for Direct Booking feature and Resource Scheduling feature.In addition,please understand that the meeting is created in atteedee's calendar folder when the meeting request receivedby the attendee and attendee accepts the meeting. Please understandwhen meeting organizor sendsmeeting request, the meeting is sent to both attendees' mailbox and resource mailbox. When the meeting request is delivered to resource mailbox, the Resource Assistant on the Exchange Mailbox server will review the meeting and accept/decline the meeting. Nevertheless, the Resource Assistant does not have a method to reject meeting request send to other attendees.
