Resource Delegates that are invited to meetings with the resource they are the delegate for don't see their meeting invite it is in the deleted items folder.
We are having an issue and I am wondering if others are as well. Resource Delegates that are invited to meetings with the resource they are the delegate for don't see their meeting invite, it goes into the deleted items folder and marks the time on their calendar as tentative. The resource approval is in the inbox but not their meeting request. We see this as a problem becuase we have people that see tentative meetings on their calendar and are not seeing the invites (they are not looking in their deleted items folder). They are also never responding to the meeting invite so the tracking is not updated for the organizer. Has anyone seen this? we are running on Exchange 2007 sp2 ur5 The room is set up with one resourcedelegate allrequestinpolicy is set to true and automatedprocessing is autoaccept.

This must be due to the auto accept message sent out by the resource maillbox. The room is already configured to accept/decline the meeting request and hence does not need a delegate. You can remove that user as delegate and instead provide the permissions to the room mailbox calendar.

Hi Adam, Above gave some good information, please refer to below information: http://technet.microsoft.com/en-us/library/bb124973(EXCHG.80).aspx About the difference between the autoaccept and the autoupdate: http://technet.microsoft.com/en-us/library/aa996340(EXCHG.80).aspx Regards! I tested this with the AutomateProcessing set to AutoUpdate and to None. The delegate gets the meeting request for them as an attendee but the room isn't booked and there is no request sent to the delegate. We want the delegate to manage the requests for the room and be able to be invited to a meeting in that room.adam.d.smith@yale.edu

My question hasn't been answered yet. Why can't the room delegate get invited to a meeting in the room that he is a delegate for? That is my question and it has been. The delegation messages work the way that the documents state they should. If I haven't explained this well enough I would be happy to try and ask it in a different way. Thanks, Adamadam.d.smith@yale.edu

Hi Adam, I have make some tests as below: resource mailbox: room1 mailbox: userA, userB userA is delegate of the room1 userB send a meeting request to userA and the location is room1, userA receive two emails: one is the meetrequest as a attendee, the other one is as a delegate. In my opinion seems right, please check is there any rule for userA. Or we could make a test with new account and new room to make some test. Regards! Thanks for testing that Gavin, Your results are what we would expect as well, however the in our environment the delegate doesn't see the meeting request for them as an attendee to the meeting in their inbox. That meeting request goes to the deleted items folder, the delegate usually is not aware they were invited due to this. What version did you test this on? Was your room set up as the example above or did you have different settings? Thanks for all of your help on this Adamadam.d.smith@yale.edu

Hi Adam, My scenario is same as yours, exchange 2007 sp2. Did you make some tests with new account and room? About how to configure the delegate for the room, we could do it through outlook too. Please make some tests follow the DOC. Regards! I have performed the test on a new room mailbox with the same configuration as above. We are still seeing the meeting invite for the delegate to be an attendee show up in the deleted items folder. Any other ideas? Thanks, Adam Smithadam.d.smith@yale.edu

OK, I have created an new usermailbox, a new roommailbox configured the same as before. I have opened the usermailbox in a new profile and I see the same results. I invited the delegate to a meeting in the room that he is the delegate for. The delegates mailbox gets the request for approval in the inbox and the meeting request for the delegate to attend the meeting is in the Deleted Items folder and it is on the delegates calendar as a tentative meeting. This is the same results that I have always had. Gavin, you are saying that you don't see this behavior? Thanks for helping, Adamadam.d.smith@yale.edu

Hi Adam, Please make a test as below: change the setting of the outlook client, tools -> options -> email options -> advanced email options -> unchecked the "delete the meeting request from inbox when responding," If the delegate also as a attendee will be invited to the meeting, in my opinion, the operation is normal, if you approval the meeting, the delegate's calendar would also has the meeting calendar item. I tried that test and the only change that I see is that the delegate approval request stays in the inbox after it is approved. The meeting request for the delegate to attend the meeting is still in the deleted items folder as tentative. There is no change for the attendee, the meeting is still on the calendar as tentative. Gavin, when you run this test does your delegate's calendar get updated when you approve the room in the meeting? Once again Thanks for all of your help Adamadam.d.smith@yale.edu

Hi Adam, Sure, I have make some test, and in my scenario, everthing work well as it is expected. My exchane 2007 has also been update to the sp3. If the issue still existed, I would suggest that you could open a ticket from MS, it maybe need retrieve more information to analyze it. Regards!
