Question about setting up Room Resources
Hello, I have a question about setting up Resources for Shared Calendar. I would like it so that when ever someone using Outlook books a meeting and selects a Room as the location that it will send an email to the delegate of that Resource. Under the Resource Policy tab I have added a delegate and check the box for 'Forward meeting requests to delegates' Under the Resource In-Policy Requests tab, for users whose requests will be automatically approved I have the Selected recipients radio button selected and no users added. and than the next option for who can submit in-policy meeting requests that are subject to approval by a delegate I have all users selected. Under the Resource Out-of-Policy Requests tab I have the All users radio button selected. Am I missing something else? Why can't I get this to send the request to the delegate? ThanksEric

Hi Eric, I tested this problem in my exchange 2010 SP1 and it also happens. I will forward this issue to Exchange Product Team. To work around this problem, please use the following method to configure the delegate: Step 1: Set up a outlook profile for the room mailbox =================================== 1. Add your account to the full access list of the room mailbox. 2. Create a new outlook profile, select "Manually configure server settings or additional server types"->Microsoft Exchange or compatible service. In User name, type in the alias of the room mailbox. If outlook asks you to input the crdential, please input your user name and password. Step 2: Configure the delegate for the room mailbox =============================== Open outlook and load the room mailbox we just created. Click tool->Option->Delegates. Please remember to click Mark as Answer on the post that helps you, and to click Unmark as Answer if a marked post does not actually answer your question. This can be beneficial to other community members reading the thread. Thanks Gen Lin-MSFT

Hello Gen, I have tried this and while it did send me (the delegate) an email. It never actually put the appointment on the calendar of the resource, only on my calendar after I approved it. I need these to show up on the calendar of the resource as tentative until a delegate approves or denies it. Thanks. EricEric

Hello Eric, - Under the Resource Out-of-Policy Requests tab change the selection from "All users" to "Selected recipients". - Give the delegate Full Access Permission to the Room. This is what allows the approve the meeting and have it show up on the room calendar. brian
