Public Folders for employee access to forms and documents
Hello everyone. I was exploring the option of creating a Public folder on our exchange 2007 server where our Human Resources department can store company forms that all employees could access and download HR related forms. I have done research and found this statement in a Technet link that states public folders are not for this purpose: http://technet.microsoft.com/en-us/library/bb397221.aspx Public folders aren't designed for the following purposes: Archiving data Public folders aren't designed for archiving data. Users who have mailbox limits sometimes use public folders instead of their personal folders (.pst) files to archive data. This practice isn't recommended because it affects storage on public folder servers and undermines the goal of mailbox limits. Document sharing and collaboration Public folders aren't designed for document sharing and collaboration. Public folders don't provide versioning or other document management features, such as controlled check-in and check-out functionality, and automatic notifications of content changes. Does anyone have suggestions how I can accomplish this though Exchange 2007? If I can't use public folders, what are my other options? Thank you all in advance. Netauto

Public folders is fine for this since the content is static, i.e., final versions of forms that users can copy. It wouldn't be a good place to store documents that are being developed, however. Thanks James. I followed your link and created the Organizational Forms Library to the tee. I added the permissions to the library and gave a user full access to it, but now what? I can't seem to find it in Outlook when logged in as the user under public folders or any means to add it to Outlook as a public folder. How do you actually use it? How do you create forms for it? How do you access it? Any help would be greatly appreciated. Thanks, Netauto

Hi, When a user has permission on a public folder then it is shown in both outlook and owa of that user: In this case Add-PublicFolderClientPermission "\NON_IPM_SUBTREE\EFORMS REGISTRY\My Organizational Forms Library" -user YourUserHere -AccessRights "Author" Where this "\NON_IPM_SUBTREE\EFORMS REGISTRY\My Organizational Forms Library" is the path of public folder in your server. I have never played with System public folders to show in outlook/owa but hope that u have also added at least read only permission on the parent public folders "\NON_IPM_SUBTREE\ "\NON_IPM_SUBTREE\EFORMS REGISTRY\ for same user. Thanks, I was able to set the permissions for the user on "\NON_IPM_SUBTREE but not on "\NON_IPM_SUBTREE\EFORMS REGISTRY\ I says "Failed to commit changes on object because access is denied. I was able to commit the change on the parent so you would think I could do it on the child. I'm logged in as the domain administrator so I dont know why I would be denied. Any input would be great!
