Outlook Move Emails to specific folder rule issues.

Hello,

We have found fallowing issue in our Outlook/Exchange environment:

If we setup rules in outlook 2010/2013 to move emails from specific sender to specific folder emails are moved to that folders but also they appear in a "Recover deleted Items" folder. if we move emails manually no issues. If we recover them they will appear double in the specific folder.

We are using two Exchange  2013 Servers in DAG with latest cumulative updates. CAS/MB roles combined.

Any Ideas?  Thanks in advance!

Hi Artvart,
Please open outlook /cleanrules switch (i.e. outlook.exe /cleanrules) which will clear all the rules and try creating new rules again.
Please check the retention policy as well. Run the below command
Get-Mailbox "user affected" | select Name,RetentionPolicy

I already tried to recreate rules but it happens for most of users even for newly created ones. Retention policy is set to default.

Hi,

When creating this inbox rule to move emails from specific sender to specific folder emails, please make sure the following field is unchecked.

If we choose this field, then situation like yours will happen.

Please also check if there are any other inbox rules or transport rules relative this issue.

Get-InboxRule -Mailbox Username@domain.com | Fl description

Get-TransportRule

Rules are created in Outlook choosing particular message and clicking "Always move message from ...." so permanently delete it is not checked. There is no any additional Inbox or Transport rules.

Hi,

Appologize for delay response.

I performed the same step as yours. Choosing particular message and clicking "Always move message from ....", after that all messages sent from that recipient are moved to the specific folder and they are also in Recover Delete Items folder. So, it's by design. By the way, after using this method to create inbox rule, all messages sent from that recipient will not be removed to Recover Delete Items folder next time.

Hi,

First of all thank you for your effort!

For me it sounds like a bug not by design. I couldn't find any official docs regarding this behavior. It confuses users if I accidently deleted any email and want to recover it I see all the emails "deleted" and "not deleted" ir "Recover deleted items" folder. and how to track 100s of emails which should be recovered and which is just a copy created by rule?
