Outlook 2013 Search on Cloud Based Microsoft Exchange
   

I am using Microsoft Outlook 2013 on a Windows 8.1 system.  My e-mail is hosted by cloud based Microsoft Exchange.

I have lots of e-mail dating back to 2006.  In my inbox, I can see all of them, I just have to click on "Click here to view more on Microsoft Exchange".

My issue is that if I search for a work that is in many e-mails, it originally finds 673 results, with the last result dated 02/18/14.  When I scroll to the bottom it diplays "Showing recent results...", and has a "More" button to click.  So I say good, I'll click it, and see the rest of the results.  When I click "More", the result flash, and then only shows 250 results thru 10/16/2014, and there is no "More" button to see more results.

I have already rebuilt the search index.  I have also gone into search options and unchecked the option "Improve search speed by limiting the number of results shown.  So here are my questions...

  1. Why does the search show less when I click "More"?
  2. What do I need to do to get it to display all results not just a limited amount?

Hi,

A quick fix to your issue is to disable the search limit:

FILE -> Options -> Search -> Untick "Improve search speed by limiting the number of results shown" -> OK.

By default, in Outlook 2013, in the Search Panel in Outlook Options, the Improve search speed by limiting the number of results shown option is enabled. In this situation, when you search for offline items in Outlook 2013, the search result only contains no more than 30 items.

After you install KB2883074 the search result is able to contain up to 250 items.

In the registry, we can specify an exact number of search results which are being displayed by default:

Important Follow the steps in this section carefully. Serious problems might occur if you modify the registry incorrectly. Before you modify it, back up the registry for restoration in case problems occur.

Key: HKEY_CURRENT_USER\Software\Microsoft\Office\15.0\Outlook\Search
Value name: SearchResultsCap
Value type: REG_DWORD
Value: 0 to 4294967295 (decimal)

If the value is set to 0, all results are returned.

If the value is missing, 200 results are returned in Outlook 2007 and Outlook 2010 and only 30 results are returned in Outlook 2013.

If the value is set to any other value, that amount of results are being returned.
