Outlook 2010 - Cannot cancel a meeting as the organizer.
On Outlook 2010 I do not have a 'Cancel Meeting' option. I can delete a meeting but the only option is to notify the organizer...  but I am the meeting organizer. I need to be able to cancel a meeting and notify all of the attendees. I currently do not have (or cannot find) this option!

Hi Joe,

Please make sure you are the organizer of the meeting.

And you should be able to find the 'Cancel Meeting' option here:

  1. In Calendar, click the meeting.
  2. On the Meeting tab, in the Actions group, click Cancel Meeting.

Cancel Meeting command on the ribbon 

  1. Type anything you want to include in the body of the message.
  2. Click Send Cancellation.

You can also find the 'Cancel Meeting' Option when you have the meeting item opened or when you right click on the meeting item on the calendar.

I am also having the issue initially described.  We have multiple, unrelated users on Exchange 2010 and Outlook 2010 who are, in fact, the organizers of meetings, and now they are unable to send a cancelation request to all attendees.  It appears on the organizers' calendars as it does on their attendees' calendars.  Let's use John Doe, johndoe@domain.com, as an example (original, I know :) ).  John Doe creates a meeting.  When he is unable to cancel the meeting, details of the meeting show 'Meeting was sent by John Doe (Display name) on behalf of johndoe@domain.com (email address).  I'm thinking this has a lot to do with the issue.  Has anyone ever seen anything like this???

You cut and pasted a stock answer without reading his question!  He is the meeting organizer.  It was set up under his profile.  I have the same problem.

The CANCEL MEETING OPTION is NOT available.

Please provide a viable solution to this problem which affects 2003, 2007, and 2010 version of Outlook especially for recurring meetings.  I work with executives and have to ask CEOs and CIOs to cancel the meeting because I can't do it as the MEETING ORGANIZER.  Talk about inefficient and embarrasing.  I know that Microsoft is aware of this problem, so give us an answer please.

And please read the entire question next time before providing a non-answer that shows that you didn't do your homework.

I have the same problem using Outlook 2010. I logged into our webmail site and then I was able to delete the appointment. Outlook synched up with Exchange Server shortly afterwards and removed the appointment from it. This is obviously not a solution, but a workaround in the interim.

I have a brand new out of the box outlook 2010.  NO CANCEL meeting option available.  Yes, I AM the organizer and yes I check the help files on how to cancel.

Help files show a cancel button, that I simply DO NOT have.

What the heck.  Has anyone found a fix for this?!?!?!?!?!?!?!?

This happens after activesync. If you disable activesync for problematic user's mailbox, calendar didn't change meeting organizer (cancel, update meeting buttons).

I found that - after meeting organizers mobile phone (nokia) synchronization, some values of meeting organizer was changed.

There are three MAPI properties that Exchange clients can key off of for determining organizer information.  Heres a quick summary of what they are with details on how to inspect them using the  MFCMAPI tool mentioned by Ripu:

 

1.       For meeting requests, a Recipient table exists showing each attendee.  The organizer is represented here when PR_Recipient_Flags = 3

2.       PR_ Sent_Representing_Email_Address and/or PR_Sender_Email_Address

3.       named prop0x8217 dispidapptstateflags [can also show up as MessageStatus]

if the value is 1 = olMeeting it means youre the organizer

if the value is 3 = olMeetingRecieved it means you received the item so you cant possibly be the organizer

 

In your situation, the organizer seems to be modified on the calendar item in all three users mailboxes at the same time.  This usually means an application that has privileges to each mailbox is the culprit.  Generally, if ActiveSync or an ActiveSync device is contributing to the problem, only the mobile device users calendar item would be affected.

 

The best approach is to inspect which organizer attributes are changed on each persons calendar item.  Then, with careful repro steps, see if you can identify the user or service account that is making the changes.  Take a look at the examples below:

 

Heres the details of what Recipient Table looks like [requires MFCMAPI available http://mfcmapi.codeplex.com from a PC with Outlook].  This isnt a user friendly tool, but its very helpful in identifying whats changed. 

         When you first launch the tool, select the menu item Session, Logon and Display Store Table.

         Now select an Outlook profile to login with

         If you see Mailbox - <username> in the list of display names youre doing good.  Double-click this to launch the next window.

         In this window, drill into the mailbox 

 

MFCMAPI Recipient Table

-To find the appointment youre troubleshooting, go to the calendar folder underneath IPM_SUBTREE.  Sorting by Subject will usually help get to item quickest.  Select the item, and Action Menu(?) / and Display Attachment table.    You will see a list of recipients in a new window.  There should be a "3" in the PR-RECIPIENTS_FLAGS columb for the organizer.

 

- A healthy recipient table - the PR_RECIPIENT_FLAGS indicates whether a recipient is the organizer, or an attendee [this column is actually all the way to the right ].  When the PR_RECIPIENT_FLAGS = 3, that indicates the organizer.  For example, if the delegate organized a meeting with the manager and E2k7 Native being the required attendees. PR_Recipient_Flag should be 3 for the Delegate.  If not, then the calender item was modified by something.

 

- Going back to the calender item, PR_SENDER_EMAIL  shows Distinguished Name (DN) of the sender.

 

- Ok.  Back on the calender item, if the organizer is listed as wrong person, look to see the last person to modify the item.  Heres where you can find out what account last modified the calendar item.   Look at the Column "Property Names" for row PR_Last_Modifier_Name.  This is the account that last modified the item and is probably the culprit.

run into the same issue with my outlook 2010. My invite sent to a group of people, and now as a organiser, I am not able to cancel or alter the invite.   

it just happens to one invite and not all. I dont quite follow the debugging steps above. How can i simply resolve it from user end? 

Also, i dont see the problem get fixed but it marks as answered???

How is this an answer? That link just tells you how to remove a meeting you organized from your own calendar without sending out notifications, nothing more. It will NOT cancel the meeting for others, which is what we need to be able to do.

I am having the same problem with Outlook 2010, but I do have an active cancel button. When I click it and try to cancel one event in the recurring series and then try to send a cancellation notice it says I don't have permission to send as the organizer. I am the organizer!

It might have to do with Activesync. I was able to delete it from my iPhone, but it did not send out notices. )-:

So while this is not a solution, I would like to update people on my efforts to get Microsoft to address the problem.

We originally had been running an on-site Exchange 2007 server, with Outlook 2010, and faced this calendar issues several times, where the meeting organizer of reoccurring meetings loses the ability to change or delete the meeting and then send an update to all participants. 

I originally detailed the problem here with no resolution:

It would appear that this issue happens because of Activesync. Somewhere in the process of an iPhone or Android phone getting updated with calendar information the original organizer is lost.

I'm done with throwing out the question to the "community" in hopes of a fix. Now that we are paying Microsoft nearly $3000 a year to host exchange for us, I want it addressed. I have send a technical support request in, detailing all these threads.

Having the same issue here in our organization. Never had enough time to investigate it but the workaround I did was that a user needed to have at least send on behalf access to the mailbox to be able to cancel the meeting and maybe editor rights to the calendar.

Hi Rachael. I have seen the same Phenomen at my side. Check that the affected User did not have changed his Default Account on the Smartphone. May this is also the Source of your problem. Best Regards. Roger.

I had the same problem with Outlook 2013 on Office 365.  Solution (workaround) was to open the calendar in Office 365 portal, and cancel from there.
