Outlook 2007 - How do I get Outlook to search more than one email account
I look after more than one email account. The search will only search the default account if I want to search more than one folder. How to I get Outlook to search multiple accounts listed in the object tree? Grant Wichenko, Appin Associates appin@appin.com

Hi, I'd like to clarify the issue with you: 1. What is the verison of your exchange server? 2. Which mode that you use for Outlook? 3. How did you have more othe email account? Just open other user's folder which you have full access permission? Or you have add the account to the outlook. 4. What is the profile? Exchange account? Pop3? 1. 2003 Exchange that comes with the small business server. 2. cached mode 3. I and everyone else on staff have full access to common@appin.com as a separate email account from my regular account. All staff have full access to common@appin.com. We are using this account as if it were a mapped drive on our file server. By having this account set up this way, we get the advantage of being in the Outlook environment but we can move emails within the folders I have created in common. I have recently learned about the Getting Things Done (GTD) "philosophy". The folders in common are structured to follow the GTD approach and we get this functionality without having to buy more Outlook add-ins. The only problem is that we can only search our default account, not common. We can search the common folders one folder at a time. No-one has search folders set up for this account and when you check the "all folders" option, all folders means all folders in the default account, not including common. 4. common is an exchange account. As described above, no-one sends or receives emails from this account. It is strictly a means to place emails to which all staff have access. Under this approach, we do not need to set up public folders. We do not have to struggle with SharePoint. We do not need special software. Xiu: if you can fix this problem of including this account in seach folders, we would be very happy. My guess is that Microsoft did not foresee the use of shared email accounts being used in this way and there is likely no solution to the problem other than having a separate computer open to common. Neither Copernic nor any other search engine will work to our knowledge. We would not use the Microsoft search engine as it does not search WordPerfect files. Thanks. Grant Wichenko

There is no solution to do this within Exchange. The emails must be saved as individual messages on your file server. If you install 2010, you can connect up to three exchange accounts under your profile. You can search each account separately and unlike 2007, 2010 will search all folders in acct1, acct2 and acct3. This is better than before but Outlook will not search more than one account simultaneously. You will will have to wait for Outlook 2015 for that. Grant Wichenko
