Outlook 2003 on Exchange server 2003: new items but none are displayed
Hello fellow TechNet readers, I've been scanning and searching the internet for a solution of my problem which has come up in the last few weeks. I'll explain the symptons first and then briefly explain our setup. Problem: When in Outlook 2003 client you can see in the lower left corner (in the status bar,if enabled) the number of items in the folder you have currentlyselected in thenavigation pane. While in exampleit sais here (statusbar) that you have 5 items, there are only4 or less visible in the folder content. I know you are all thinking that we have a filter enabled on this folder, but we don't. I triple-checked that over and over again. Also when I perform a "Open in New Window"from the navigation pane(with right-click on folder) it doesnt show the total number of items which are listen in the status bar. So, essentially, we are missing email which we are appearantly receiving. You can also see that when you have new email, the number of unread messages in the folder are displayed in blue behind the folder name. Like this:------------------------outboxinbox (3) sent items-----------------------But then again, when you select the folder /or open it, it only displays a few if any, and allot of the time not even one unread message. I't a dangerous situation as the mailbox which we talk about is being used extensively by our customers to relay information to us. We have allready had some angry customers calling in to askwhy we dindt reply to their mail yet. We simply have not been able to see them yet, this ofcourse is a monster problem for us. Setup: We have a terminal-services based setup of 2003 server components including Exchange server 2003 with sp2, and 2003 server Standard Edition running terminal server. Within the sessions on which the users log into, they run a (on the terminal server) installation of Office Outlook 2003.Please reply if you can help, thanks you for yourtime.

Check if you are facing the same issue with OWA as well? Try to configure outlook on a different client(if possible)? If not, then create a new windows user account and then configure outlook in it and have a check if you are still facing the same issue? We need to perform this step to check if there are any issues with the OST file. Let me know the result of the above steps. Harpreet

We do not make use of OWA, only Outlook 2003 client on Exchange Server 2003. We do not have any OST file, because we work in Online mode.This is directly on the Exchange server. I' m going to test the thing you said about the new windows-user, but since we work with users with roaming profiles (Active Directory) I don't think it will make much of a difference sadly. Any more Idea's? Their all welcome. Thanks so far.

Hi, Does this issue affect all the outlook users? We suspect that some items in the user profile has been corrupted. You may try to create a local profile for test purpose. Please use MFCMapi.exe to check whether you can find these mails in user mailbox. You can download from the below link: http://www.microsoft.com/downloads/details.aspx?familyid=55FDFFD7-1878-4637-9808-1E21ABB3AE37&displaylang=en Besides, please use ExMerge.exe to export mailbox to a pst file and then import the the pst to a newly created mailbox. 1. Use Exmerge tool to export the mailbox data to a PST file 2. Delete the old mailbox and Recreate the mailbox on the original server 3. Import the PST file to the new created mailbox How to use Exmerge tool to export the data from the mailbox to a PST file. 1.Download Exmerge Tool from below link: http://www.microsoft.com/downloads/details.aspx?familyid=429163ec-dcdf-47dc-96da-1c12d67327d5&displaylang=en 2. Extract the Exmerge.EXE to a folder, copy the exchmem.dll filefrom (Exchsrvr\bin) to the folder. 3. Run Exmerge.exe 4. Click next on the intro page 5. Select the second option (Two Step Procedure) 6. Select 1st step Extract Data from Exchange Server Mailbox 7. Type the Exchange Server name. 8. Choose the mailbox you want to export. 9. Follow the next instruction to export to a pst file. Thanks, The trick with Exmerge allowed us to couple the extracted files and see the lost messages ! Now we are going to delete the old- and re-create the new mailbox, then import the content from the extracted PST. Hope this last step goes as smoothly as the first, thanks sofar.

Im sorry to say it only helped partially. When we exported the contents and opened thesecontents (pst)into Outlook (offline), it worked. We could see all the messages. But once we have created a new user (shared mailbox) and imported the same original-contents into the new users mailbox, it gives you the same problems as before: New items, but none are visible. Also, we put the new contents (in the new shared mailbox user's account) on a different store than before. Please, more idea's !

Hi, I need to know how do you create shared mailbox? Delegation? What is the permission on that mailbox? How do you check the new item when you finished importing pst file? Via outlook? Via OWA? Or etc? If we import the mailbox to an normal mailbox, then how is the issue? Regards, Xiu

When we have exported the content of the discussed mailbox (using exmerge, 2-step method) we import it to a newly created mailbox, under the same name, after having the deleted the old one. This is all as you described we should do in your previous post, then we open and view the result in the only way we can (heres your answer ) Outlook client 2003. We do not use OWA.However OWA is enabled under "Protocols" in the "Exchange Features"-tab on the Mailbox user, we do not have a running IIS server hosting the OWA pages.
