Meeting Forward Notifications

Hi,

We have got an issue reported by user recently.

She is a delegate to the calendar of her boss.

She says "whenever she creates a new meeting request, a meeting forward notification is sent to her boss".

This should not happen for when she creates new meetings.

Any ideas on what could be causing this ?

Mailbox: Exchange 2013

User's client: Outlook 2010

Boss client: Mac Outlook

Just FYI, She also told me that this was not happening previously, It has started from yesterday...

I have the below ideas in my mind:

Disabling this notifications using a cmdlet

Asking her boss to remove her as a delegate and re-add her as a delegate and see if that fixes this.

But just wanted to know the what could be causing this issue / root cause of this.

As per the information and details provided by you, to solve the problem of Meeting Forward Notifications, please follow these steps: -

I generally recommend that an attendee not forward a meeting if they are not in the same Exchange organization as an organizer, unless all the following conditions are true: -

  • The attendee is using Microsoft Outlook 2010 or newer.
  • The attendees Exchange Administrator allows meeting forward notifications to be sent to remote domains.
  • The organizer is using a Microsoft Outlook client.

In the case of an attendee that uses a non-Echange mail system, we generally recommend not forwarding a meeting, unless all the following conditions are true:

  • The attendee is using Microsoft Outlook 2010 or newer.
  • The organizer is using a Microsoft Outlook client.

It is import to ask the meeting organizer to add the desired attendees if you are not certain that both you and the desired attendees environments meet the above conditions.

Note: - Outlook Delegates do not receive Meeting Forward Notification.

Did I say "that Meeting is Forwarded by delegate" ??

Please go through my query again..

I said delegated user is creating a new meeting on her boss calendar and then her boss is getting meeting forward notification...

This is not supposed to happen..

Did you understand the problem ?

Hi,

According to your description, I understand that a meeting forward notification will send to her boos when she create a meeting request on her boss calendar, she is a delegate to the calendar of her boss.
If I misunderstand your concern, please do not hesitate to let me know.

Basis on Microsoft document, Outlook sends a meeting forward notification to the meeting organizer when you use Outlook to forward a meeting to someone that was not originally invited to the meeting. The prerequisite of meeting forward notification is existed meeting request, therefore its not possible happened as you mentioned.

For your question, I want to double confirm what has she done before issue occur, for example Outlook update. Whether all account or only one use experience this issue. Please try to create a test mailbox and deploy delegate access to reproduce this problem.
If this only occur on one account, then make sure which side caused this issue, the setting of her bosss mailbox or her own mailbox. Try to configure delegate access permission to another mailbox, then check the results.
As my experience, we can check inbox rule, delegate access permission and Outlook virus and add-ins.
