Managed Folders x days from item moved?
We upgraded to Exchange 2007, and I just recently setup a policy that should delete anything that has been in the deleted items folder for over 365 days. Its set with a retention period of 365 days, and the retention period starts when item is moved to the folder. Then the item is deleted. It does not seem to work. Is that because the folders dont have an item moved date because they were moved in Exchange 2003 to the deleted items folder? I did some testing, and if it set the policy to use when delivered, end date for calendar/tasks it works as expected, but I really want to base this policy on when the item was deleted. Thanks.

Hi Yaplej, I would like to explain that the Mailbox policy checks against the following three Messaging API (MAPI) properties to determine whether a message exceeds the age limitation: PR_Message_Delivery_Time PR_Client_Submit_Time PR_Last_Modification_Time After a message is moved to another folder, the PR_Last_Modification_Time value will be modified. Thus, I suggest that you test the issue again. Simultaneously, please also use the MfcMapi tool to record the PR_Last_Modification_Time and calculate the time to check whether the message has exceeded the age limit which has not been deleted from deleted items folder. Hi Mike, I did some more testing, and the last modified time does not exist. Did Exchange 2003 set that? My guess is no thats why its not set, and thats why the new policy does not delete the old emails. For now we instead used the date created/received date. Its going to cause anything over 1 year old in the deleted items folder to be deleted, but thats ok. Thanks.

Hi Yaplej, I understand that the Last Modification time cannot be found by using the MfcMapi tool. I did some research and here are my findings: 1. When a user moves the item to the managed folder: If the item has a Move Date, the move date is used. If the item does not have a Move Date, the item does not expire. For your reference: http://technet.microsoft.com/en-us/library/bb430780(EXCHG.80).aspx 2. The Managed Folder Assistant evaluates each mail item and if that mail item has not been stamped then it is stamped at this point. Therefore, the first time that the Managed Folder Assistant runs it must stamp every item in the Managed Folder. Please note that mail items that are moved into the Managed Folder after the Managed Assistant runs will not be evaluated and stamped until the next time that the Managed Folder Assistant runs. The next time that the Managed Folder Assistant runs it will then evaluate the time stamp on the mail item, (that it stamped on the mail item in a previous run), against the retention time on the policy that is being applied. If the time delta between the time that was stamped on the mail item and the time that the Managed Folder Assistant is being run exceeds the retention time then the policy will be enforced on that mail item. For example, if a message is moved to the managed folder at 12:00 but the Managed Folder Assistant runs at 13:00, then the Move Date property value will be set as 13:00 but not 12:00. If you would like to test this further then you could create a test mailbox and another test policy with a retention time of 1 day. Run the Managed Folder Assistant the first time against the test mail folder (use command Start-ManagedFolderAssistant) and validate that all items have been stamped with the current time (You can use mfcmapi tool to check the 0x67170102 (ElcMoveDate) property of a message. Please send the value of the property to me and I can help you translate the value into time). Wait until a time after the retention time in the test policy and run the Managed Folder Assistant against the same test mailbox folder again and validate that the policy was enforced against those mail items that had exceeded the retention time in the test policy. Note: The property 0x67170102 will only be created after running the Managed Folder Assistant. Mike

The process works as follows: 1. Message is deleted from a folder and goes to the Deleted Items folder. 2. Mailbox Assistant runs over night and stamps the message with a datestamp. 3. 365 Days from the time that the date was stamped by the Mailbox Assistant, the message is removed as per your policy. Exchange doesn'tmodify a MAPI property when a message is moved to a folder, so the Mailbox Assistant stamps a time on the message so that we can tell when it has met the criteria for your policy. You will notice 365 days from now that the original messages that were in that folder are removed. Each new message that appears in the deleted items folder will get stamped when the Mailbox Assistant runs. I hope that helps, James Burrage
