Mails stuck in Outbox when sending as shared mailbox

Hi

I have some users who use a shared mailbox accounting@xxx.com.

Their primary mail is their own user@xxx.com and the shared mailbox is the secondary. When they try to send mail as accounting@xxx.com, the mails get stuck in the Outbox folder or the shared mailbox. Sometimes, only one user has a problem, sometimes 3 of them (there are 6 members). Sometimes the problem is resolved, sometimes the problem happens again. Sometimes, the mail will be stuck in Outbox for 10 seconds then send. The recipient does not receive the mail when it gets stuck on the Outbox. I tried to add a test user with the same privilege as this group and tried to log-in the computer of the user who is having the problem. In the test user, mails can be sent as the shared mailbox, but going back to the original user, it gets stuck on the Outbox. So I think this is not a problem of the computer. I tried to check if the DelegateSentItemsStyle can be changed but this parameter is not existing in the registry of the user. Any advice? Thanks.

By the way, here are more information:

We are using Outlook 2010 and Exchange server 2010 (global). Cache Exchanged Mode is also turned on by default (I cannot change this since it's grayed out). I haven't done Windows Update on user's computer.

So the emails will finally get sent successfully, it just stucks there for few seconds? It looks like a performance issue, and something related to the data file, as you are in cache mode.

Are you saving sent items in your primary mailbox's sent folder? Please try to manually create the registry key (DelegateSentItemsStyle ), then restart Outlook and try again.

Hello meowchao,

I need to ask: Does any of these people get an error message (email) back? Because if they do, the answer is within this email. Can you erase personal data and publish it here?

Hi Amy,

Thanks for your reply. Sorry for not getting back on you right away. Mails are not sent successfully. It just stays in the Outbox of the shared mailbox. User said that sometimes, it will stay there for like 10 minutes then will be sent successfully. I haven't tried creating a DelegateSentItemStyle in the registry since I wanted to resolve issues without touching it. And yes, we use cache mode by default.

Hi George,

Thanks for your clarification. No, the users do not receive an error message. The mail just gets stuck on shared mailbox' outbox. Sometimes they can send, sometimes it stucks on the outbox. I woas wondering what personal data that I need to erase.

Hello meowchao,

It puzzles me that they sometimes can send. Do you know Powershell?

If so, please run the following command:

Get-MailboxPermission accounting@xxx.com

(where you type the proper name of your shared mailbox)

In the list produced, does all users who should have access to this mailbox appear and have full access?

Hi George,

Sorry for super late reply. Yes all members/users have full access to this shared mailbox. I set it in the Exchange Server itself.

Hi George,

I also tried to follow instructions to add registry DelegateSentItemsStyle. But whenever I go to regedit, I stop until HKEY_CURRENT_USER\Software\Microsoft\Office\<var>14</var>.0 only. There are no Outlook\Preferences as subfolders so I cannot manually create this DelegateSentItemsStyle registry. Are there other solutions aside from touching the registry? I am not quite comfortable doing that. I will try to repair Office or even recreate profile but I read some forums that even doing this, it still doesn't work. Thank you.
