Issues related to Calendar - Looking for Suggestions on Troubleshooting
Hi, In last few weeks, some of my users are missing meetings in their Calendar. The most recent case happened last weekend. In this case, the meeting organizer sent the meeting request from OWA (all my servers are Exchange 2007 by the way). From message tracking, I can see the meeting request has been received and been delivered to all recipients' mailboxes. But most, if not all, of these recipients do not have this meeting in their Calendar. I did get into one recipient's mailbox, trying to find the cause. I saw the meeting request message has arrived (but never be opened). When double-clicking the meeting request, it shows "This meeting is not in the Calendar; it may have been moved or deleted". And the meeting is not in the Calendar folder. nor can anything related to this meeting be found in Sent Items (which means not being accepted or declined) or in Deleted Items folder. I also used the "Recover Deleted Items" tool and checked all these folders (Calendar, Inbox, Sent Items, and Deleted Items) but found nothing. All these lead me to believe that the meeting has never been added into this recipient's Calendar, though a meeting request has arrived the Inbox. And this is why it reports "This meeting is not in the Calendar; it may have been moved or deleted". Because the organizor sent the request via OWA and it is the server side's process, Calendar Assistant, that moves the meeting into the recipient's Calendar ( - this recipient's OWA option is “Automatically place new meeting requests on my calendar, marked Tentative” checked), the cause of the issue can only be on my server(s). And there is no delegate involved in the sender and this recipient. Could anyone please let me know how to troubleshoot this kind of issues and/or prevent it from happening more and more, which I am really afraid of? Thank you very much in advance, Eric

Do these users have any third-party synchronization software or Outlook add-ons? Do you have any PDA or phone synchronization (like BlackBerry) going on?-- Ed Crowley MVP"There are seldom good technological solutions to behavioral problems.". Hi everyone, In last few weeks, our Exchange 2007 users reported more than one cases of missing Calendar items. The most recent one is that a meeting supposed to be attended on last Friday's morning did not show up in an Executive's Calendar. Based on the server log, the meeting organizator sent the meeting request on Saturday, Mar 20 via OWA from home. From Message Tracking, this meeting request has been received and delivered to all six recipients. I was approved to get into one of the recipient's mailbox to investigate. The following are what I found: - The meeting request is in the Inbox but not has not been openned. When double-clicking it, the message is labeled as "This meeting is not in the Calendar, it may have been moved or deleted." - Checked the Calendar folder, the meeting is not there at all - not on last Friday or any other day or time. - Checked the Deleted item folder and used "Recover Deleted Items" tool on both Calendar and Deleted Items folders, but nothing is found related to this meeting. - In OWA options of this recipient's mailbox, "Automatically place new meeting requests on my clendar, marked Tentative" is checked. - The recipient has three delegates and the Calender folder is shared to all of them but only with Reviewer or Author permission. The person who has the Author permission is not the sender of the meeting request mentioned above. Because the meeting was sent via OWA and the Exchange server was supposed to move the meeting into the recipient's Calendar (by using Calendar Assistant - server side process). It is our Management's believe that our Exchange server is having issues. So they asked me to start investigation and find out the cause of the problem and the solution to prevent it from happening again. As you can see from above, I already tried some but still no progress on cause/solution. Could someone please give me suggestions on how to go further from here? Thanks a lot in advance, Eric

This kind of problem is generally related to mobile device synchronization (like BlackBerry), Outlook add-ins, or antivirus.-- Ed Crowley MVP"There are seldom good technological solutions to behavioral problems.". So, the issue will appear even the user tries to access the mailbox via OWA, instead of outlook? What’s the outlook version? Does the issue only happen when the meeting request is sent from specific organizer? Does the issue happen permanently, or is there any pattern for this symptom? Please use MFCMAPI to check if you can find the missing items in the problematic users’ calendarJames Luo TechNet Subscriber Support (http://technet.microsoft.com/en-us/subscriptions/ms788697.aspx) If you have any feedback on our support, please contact tngfb@microsoft.com

We are absolutely seeing this same exact issue! We are using Exchange 2007 with Outlook 2003 and do have a BES server syncing to blackberries. Our Exchange 07 environment is currently split between SP1 and SP2. The CAS and Hub servers are SP2 but our CCR cluster is still SP1. I'm not sure yet if the appointments are not being added to the calendar as tentative upon arrival or if they're somehow being removed when they're responded to... or if it's something else, like the BES server, that is mucking things up in between. We are not able to replicate the issue with any regularity but have found that, if we send one particular user enough test appointments, the problem will occur with some of them so we can test. We have a call open with RIM and our next step is going to be removing the user from the BES server and retesting with both Outlook and owa. Thanks for the MFCMapi suggestion. It's worth a look in there as well. I'll post any results from the call with RIM or if I'm able to find anything else. Frank
