How to forward NDR reports from postmaster to another email account ?
Hi all, as per here http://technet.microsoft.com/en-us/library/bb400930(v=exchg.80) I have a postmaster@mydomain.com email account that is now receiving Non Delivery Reports (NDR's). However, I am trying to now have these messages forward to say my own personal email account or a group. I have tried seeting up a rule within the postmaster mailbox and also a transport rule and both ways I still never get an NDR forwarded but if I email directly to postmaster@mydomain.ie I do get mails so the rules do work.. Looks to me like the NDR message sent to postmaster are not treated like a normal email and so never gets fowarded. But this is very inconvienient because you would have to actively check the postmaster account each day for trouble rather than receiving forwarded emails to my own account when something does fail. Anyone know how to get the NDR messages that arrive in postmaster to forward again ? Ray..

That is correct, DSN messages are excluded from any transport rules. How about just giving your email account the postmaster@domain.com address as a secondary?James Chong MCITP | EA | EMA; MCSE | M+, S+ Security+, Project+, ITIL msexchangetips.blogspot.com

Yes 2 objects can't share the same smtp address, you have to remove it from the current postmaster account.James Chong MCITP | EA | EMA; MCSE | M+, S+ Security+, Project+, ITIL msexchangetips.blogspot.com

Thats true but I need postamaster@mydomain.ie on the post master account right ? any other suggestions? I don't understand why this is such a difficult thing to do in exchange 2007. I understand that postmaster was removed by default incase of massive spam but administrators need to be notifed that a mailbox is full rather than relying on the sender of an email to a receprient with a full mailbox :(

You can give the postmater address to any account, it's not a built in account. James Chong MCITP | EA | EMA; MCSE | M+, S+ Security+, Project+, ITIL msexchangetips.blogspot.com

Hiya, I'vre tried adding postmaster address to my email account and as before it says The proxy address "smtp:postmaster@mydomain.com" is already used by /postmaster. Please choose another proxy address ? There is an email address account postmaster@mydomain.com but I need that for postmaster. I tried removing email attribs for AD account of postmaster but when I try add postmaster to my email account I still get the already in use error ?

You will have to wait for the domain to replicate the removal of the address out. It would be unusual to remove the address from account one and be able to apply it to account two. Although personally it isn't something I would do. I don't have NDRs go to any mailbox as I find they are a waste of time, and most of the time are spam (or worse) or just stupid user typos. Then because you cannot set rules on system DSN's, your own inbox will get flooded with them. I have a number of clients who drop in excess of 25,000 items a day that would normally generate NDRs. If you insist on seeing the NDRs, leave them in a dedicated mailbox and give yourself permissions to access that account and add it to Outlook. That will keep them separate and make it easier for someone else to monitor them. Simon.Simon Butler, Exchange MVP Blog | Exchange Resources | In the UK? Hire Me.

Hiya Simon, I find that the NDR can be used to alert me that someones mailbox is full.. We use some email addresses just to forward to certain staff. However if the mailbox becomes full ( disk quota reached) then only the SENDER of the email receives notification that the reciprients mailbob is full. As an admin I cannot assume that users will notify me. As a result emails fail to get forwarded... Any better ideas on how to deal with getting notified about mailbox quotas being reached ? At least now I have a postmaster account that receives NDRS but I will have to actively check these. Ray..

One option you can try is remove all the other DSN codes and enter just the mailbox full code 5.2.2 so only this will get forwarded to the postmaster mailbox so you dont have the thousands of fluff. Then use outlook 2010 to create a second profile to open the postmaster mailbox. Having 2 profiles in outlook 2010 allows you to receive email baloon notifications for emails sent to both accounts. Open the Exchange Management Console. In the console tree, click Organization Configuration, and then click Hub Transport. In the result pane, click the Global Settings tab. In the action pane, click the Properties link that is directly under Transport Settings. Click the Message Delivery tab. In the DSN area, do one of the following: To add a DSN code, enter the 3-digit DSN code as 5.2.2, and then click Add. If the end users arent paying attention to the over Send Limit warnings, then you getting a NDR doesnt do much good does it? They still wont get the message and all you get is the bounce. When they open OWA or Outlook, it wil tell them they are over quota so they can act on it. The Send and Receive Quota should be high enough to give people time to clear out their mailboxes but not too high so that the mailboxes can overwhelm your storage.

If you want to be pro-active about it, then there are plenty of ways of running reports in EMS that can tell you the state of a mailbox, without depending on the NDR. Simon. Simon Butler, Exchange MVP Blog | Exchange Resources | In the UK? Hire Me.

I was hoping that exchange would be pro-active for me !! It is a let down that you can't forward the NDR's from postmaster to other accounts. I know it just takes a daily routine to check each day but in reality an email alert would work much better. On all servers (DELL, HP) There is always admin software that will send snmp or email alerts Based on threshold criteria that you set.. I do have Power GUI scripts I can run that will show me disk quotas. I will run these often. I just think exchange should have this type of monitoring by default. Ray..

The monitoring you want is available - in additional products. Microsoft have monitoring solutions, as do third parties. Exchange cannot do everything for you. Simon. Simon Butler, Exchange MVP Blog | Exchange Resources | In the UK? Hire Me.
