How can I add an external address as an alias for an internal user please?
Hello, I'd like to know if it's possible to add an external address as a secondary address to a user's mailbox? We have about 10 users who are transferring from company A to company B. Their old address is john@oldCompany.com and their new address will be john@newCompany.com. If another user pete@newCompany.com sends an message to john@oldCompany.com, I want the message to go directly to john@newCompany.com, without going back to the old company and being redirected. I don't want to add new recipient polices or affect mail going to anyone else at the old company. We're running Exchange 2003. Thanks, - Alan.

Thanks, but I said that I don't want to configure a new recipient policy. We have 1000s of users and this issue only affects 10 or so...

Hi Alan, You do not have to add a new recipient policy. Just go to the User's Properties in AD and select E-mail, click NEW and then select SMTP address and add the user's address. Thanks Miguel. I don't think that I've explained the problem well. Let's say that my company is called Yellow Inc and a new user called John gets an Exchange mailbox with primary address john@yellow.com. John also has a Gmail account with address "john@gmail.com". In the past, many users in Yellow Inc have stored his Gmail address in their Contacts folder and not all of them have changed it to john@yellow.com yet. I want to add "john@gmail.com" as a secondary SMTP address for John so that mail sent to that Gmail address from other Yellow Inc users doesn't goto Gmail. Will that work please? I don't want to affect the delivery of mail from Yellow to any other Gmail addresses. And obviously I can't change the MX records of an external company. Cheers.

Aaahhh... Tough one! I don't rthink that can be done without affecting the overall GMail address domain because SMTP transport relies on DNS. The only way I can think about it is to create an Internal DNS zone for gmail.com but then all email addresses @gmail.com will be affected for internal users. Doh! The reason I need to do this is that they have a redirect from their Gmail address to their Yellow address. That works fine until someone in Yellow sends a message to the Gmail address.... then it goes to Gmail and gets redirected back to us with a Yellow sender address, and our anti-spoofing rule happily blocks it. I was hoping that for secondard addresses it would just match the exact address without going to DNS. Thanks anyways.

No. I'm just using Gmail as an example. The other organisation uses Exchange and doesn't have that kind of access.

Wow..e2k3. I cannot remember actually but what you can do is the following 1. create the external email as a contact - john@gmail.com 2. create a transport rule to apply anyone from internal when cannot send to the gmail account. Pretty much blocking internally users sending to the external email address.

Hi Alan, It is easier if you can do some modification in the oldCompany, but the mails will be redirected. If the old mailbox is still exist, you can create a contact pointed to new address (john@newCompany.com ), then set the "Forward To" of "Delivery Options". If the old mailbox was deleted, you can just create a contact with SMTP address (john@newCompany.com), then add additional address of the old company(john@oldCompany.com ), please make sure the new address is primary address. After that, if the users in the new company send mails to the john@oldCompany.com , the mails will be redirected to the new address. By the way, let John send a Hello mail to new colleagues about the change is easiest way.Frank Wang

Thanks Frank. Just adding the second address as a secondary address seems to work. It does seem to check each loacl user's proxy addresses for a match before bothering with DNS and MX records. Nice.
