Free/Busy information query
Hello Running Exchange 2007 SP3 and Outlook 2007 SP2 clients (no legacy clients). I understand that in Exchange 2003, Free/Busy information was kept in Public Folders, whereas in Exchange 2007, this is kept in the user's mailbox itself. I had some question ... i. WHen we say that F/B information was kept in PF's and now in the mailbox, do we mean their Calendar information? ii. I have one user for whom no one else can lookup their F/B. Where is the problem likely to be and how can we solve this? Is there anyway to 'recreate' F/B info for someone? iii. How exactly is F/B or Calendar information stored on the server side? I mean in terms of the EDB file.

i. Free-busy data is a bitmap of the calendar, with each 1 or 0 indicating whether the user is busy or free during the period of time. It's a small amount of data. Calendar details are kept in the mailbox. ii. The first thing I'd look at is what permisisons they've conferred on their calendar. iii. It's a system public folder. Each Exchange administrative group is in a different file. For each target person/group can choose one of four levels of sharing: Share nothing Share their Free-Busy information Share a little more detail including subject, location and timing Full calendar details. So you should check the permission of calendar. If you want to recreate F/B information, I think you could modify the time of the meeting. iii. How exactly is F/B or Calendar information stored on the server side? I mean in terms of the EDB file. Yes, it is stored in a system public folder, or you can say “It is stored in Non_IPM_Subtree”. Thanks for answering. A question - in Exchange 2007, Calendar info can be stored in the mailbox of the user or Public Folders as far as I understand. Is it possible to mix and match this, or is it one or the entire for the entire org/server/groups of servers? Secondly, if this information WAS held in Public Folders (I assume one PF per Server), and this PF was accidentally deleted, would this PF need to be recovered or is the Calendar information also replicated to other PF's in the org, as per normal PF replication?

If Exchange is 2007 or later and Outlook is 2007 or later, Outlook will try to obtain free-busy data from the Availability Service, a web service. If Outlook cannot obtain free-busy data that way, or if Outlook or Exchange is an earlier version, Outlook will attempt to use the system folder corresponding to the recipient's legacyExchangeDN under the SCHEDULE+ FREE BUSY system public folder container. The Availability Service obtains free-busy data directly from the recipient's mailbox if possible whether or not it was ever stored in a system folder.Ed Crowley MVP "There are seldom good technological solutions to behavioral problems."
