Forward a copy to a Public Folder
Hello! We're using Exchange 2007 server on Windows 2008 SBS server. On the client side Outlook 2003-2010. We have several Public folders and several Distribution Groups. Can I make a rule for incoming messages based on the mail address in "TO" or "CC" to move a copy of the message to a specific Public folder (but different Folder, if message is from one of the users on our domain): - let's say that incoming message has "group1@mydomain.com" address in "TO" or "CC" - if the message came from outside of our company (sender is not a user on our domain) a copy of the message is moved to Public Folder "MyFolder1" - but if the sender is one of the users from within our company (our domain) a copy of the message is moved to a Public Folder "MyFolder1/Sent" ?? Thx in advance! M

Create another Public folder MyFolder1/Sent, mail enable this folder. Create a transport rule to forward a copy to new PF folder. Sukh

Hello! Thank you for the reply. I have two problems: 1. In STEP 1 (Conditions) I can not find an option to write an e-mail for TO or CC. I can only select from members of our domain or distribution groups? 2. In STEP 1 (Actions) there is no option to move a copy of the message to a specific public folder? Please explain a bit more exactly what you suggest me doing, because I'm a total novice to Exchange. Thx M

1. Internal users send an email to this group. (Condition) You need to select the from users inside or outside the organization and then select InOrganisation. 2. (Condition) when the message header contains text patterns group1@mydomain.com Have double quotes around this. i.e group1@mydomain.com 3. (Actions) - This is the difficulty, as mailbox, contact, mail-enabled user, or distribution group objects as considered as addresses, I dont believe PF SMTP addresses are, so, as a workaround, you may have to direct to mailbox using the action blind copy (Bcc) the message to addresses or copy message to addresses.

Hi, If there are the two public folders, you should mail-enable the two public folders. For more information, you can refer to the article Mail-Enable a Public Folder. Besides, you can separately create two transport rules to move a copy of the message to two specific Public folders. > - if the message came from outside of our company (sender is not a user on our domain) a copy of the message is moved to Public Folder "MyFolder1" Navigate to EMC->Hub Transport->Transport Rules->new transport rule and find Conditions->select ‘from users inside or outside the organization’ in step 1, click ‘Inside’ in step2 and select ‘Outside’->come back to Conditions->select ‘when any of the recipients in the To or Cc fields are people’ in step 1, click ‘people’ in step 2 and add ‘group1@mydomain.com’->find Actions->select ‘copy the message to address’ or ‘Bind carbon copy (Bcc) the message to address’ in step 1 and edit the email address of MyFolder1 in step 2->new the rule >- but if the sender is one of the users from within our company (our domain) a copy of the message is moved to a Public Folder "MyFolder1/Sent" Navigate to EMC->Hub Transport->Transport Rules->new transport rule and find Conditions->select ‘from users inside or outside the organization’ in step 1, click ‘Inside’ in step2 and select ‘Inside’->come back to Conditions->select ‘when any of the recipients in the To or Cc fields are people’ in step 1, click ‘people’ in step 2 and add ‘group1@mydomain.com’->find Actions->select ‘copy the message to address’ or ‘Bind carbon copy (Bcc) the message to address’ in step 1 and edit the email address of MyFolder1/Sent in step 2->new the rule Hope this helps. You can create a Contact for the Public Folder and use that.[string](0..33|%{[char][int](46+("686552495351636652556262185355647068516270555358646562655775 0645570").substring(($_*2),2))})-replace " "

I have no such option. I can only select users from a list (also distribution groups are on the list), but nowhere can I select the Publick folder (I hava mail-enabled the public folder and in its properties added an email address "group1_transport@mydomain.com"). See my point above, you can use the PF directlt, also see mjolinor point, that you can try create a contact for the PF and use that. That should appear in the users from list. Sukh
