Exclaimer manager signature does not update sent items for outlook 2013 clients when using cached mode

Hi

I have Signature Manager Exchange Edition 2.0.3.0 installed on the hub servers.

I have enabled  Sent Items update.

some clients are not getting signature update in the sent items of outlook while using cached mode.

from OWA, and MS Outlook when connected online, the signature is updated in the sent items.

I have two CAS servers and two mailbox servers. all with Exchange 2013 SP1

I tested each CAS server for the URLs of Autodiscover and EWS, with no errors or warnings.

I also test Autodiscover through https://testconnectivity.microsoft.com . I go successful result.

Outlook clients are updated to the latest version 15.0.4701.1000

for outlook clients; I deleted outlook profile, deleted outlook folder in the user profile, re-created the  outlook profile, with no luck.

from Exclaimer event logs on the Hub servers. the sent items update is successfully updating clients. below is the screenshot of an event for one email message which is successfully updated from exclaimer but it did not update on the client outlook while using cached mode.

Since the issue is with multiple users, I am searching for a centralized solution

Dear Mashour,

I can understand that the signature is not updated in the sent items in the outlook in cached mode.

Is the auto signature successfully applied to the recipients or not getting applied to the recipients while sending message ?

Check in the exclaimer options if there is any option

Hi Sathish,

actually, I don't face any issue with signature when sending emails. all outgoing emails are sent with signature as per applied policies. the issue that after the email is sent from the client, the Hub updates email with signature and send it to the destination, at the same time it will replace orientating email with updated signature in the sent items folder of users mailbox. this happens successfully on the Exclaimer and we can check it from OWA, or outlook when in online mode, but some users are not getting updated email when using outlook cached mode, while the same message can be seen over owa that it is updated.

Actually exclaimer support says it is a sync issue between exchange servers and outlook c

Dear Mashhour

This same expected behaviour happens in our environment as well. We are also using mail exclaimers

I feel this is the expected behaviour of Mail Exclaimer

Hi Mashhour,

I also recommend you seek the support of this software (Signature Manager Exchange Edition), as this is a 3rd party software for exchange.

Mashhour,

Have you located a solution for your issue? We are experiencing the same problem and I can't find anything that leads me to believe that Exclaimer is the cause. Sent items are updated and show as such when not in cached mode, or when using OWA. Only in cached mode do we see the problem. It appears to be a sync issue between Outlook and Exchange. We are running outlook 2010 and Exchange 2013.

Thanks,

Hi

In your exclaimer please check if you have sent items update enabled
Inorder to do that
Log in to Mail disclamier - select sent items update and ensure  enable sent items update has a check mark
Also in sent item handling - select the option replace the original sent item with the disclamed version of the message

Personally i feel not to update the end users sent item with signature since it will increase his mailbox soon than normal sent items without the disclaimer images which is good.

Sathish, thanks for your response.

Sent item update is enabled and set to replace the email. It has been setup this way since we have had Exchange 2007, 2010, and now 2013. However, only with Exchange 2013 do we see this issue. The original sent item is being replaced in the users mailbox, it is just not showing that it has been replaced in Outlook when in cached mode. I can confirm that Exclaimer is updating the sent items as it should by logging into OWA and viewing the sent items folder.

Another way I can verify that Exclaimer is updating the sent items properly is by opening Outlook (2010), right click on the Sent Items folder, select properties, then click click the "Clear Offline Items" button. Restart Outlook (which will cause the sent items folder to re-sync with the server). All of the sent items will now show with the signature appended. However, any new emails sent after this is done still will not have the signature appended to the sent item.

All of these symptoms are pointing at a sync issue between Outlook and Exchange. The items are being updated in the user's mailbox, they are just not updating the Outlook .ost file.

Thanks,

Dear Mashhour

Here you go

Employees can see their email signatures and disclaimers
With Exchange 2013, a Microsoft Outlook user cant see any added email signatures or disclaimers as they are added to an email when it passes through the Exchange server.

Signature Manager Exchange Edition lets email users see their email signature and corporate disclaimer within the Sent Items of their inbox, giving them visual confirmation of the processed email

Updating to the latest version of signature manager exchange edition will help you to resolve this problem for sure

Or you need to contact them to find a solution on this .

I'm pretty much sure that this problem is related with some version mismatch on their s/w on exchange 2013 which is causing this issue.

We are currently running the latest version.

The problem is not with the signature software not appending the signature. It does append it. This is confirmed by viewing the sent items of the mailbox using OWA. I can send an email right now, then open OWA and view my sent items and confirm that Exclaimer took the email in the sent items folder and appended my signature to it.

The problem is that Outlook does not pull down the updated email with the signature from Exchange when it syncs.

If I took Outlook out of cached mode, deleted my .ost file, placed Outlook back in cached mode, it would show that Exclaimer has updated all of my sent items with a signature. The problem is when emails are sent after that .ost is created, Outlook fails to pull down any more updated sent items.

If it was an issue with the signature software, it would not be appending the signature to the email at all and it would be evident when viewing the sent items in OWA.

Thanks,
