Exchange 2010 SP1 Quota Warning Messages not being sent...
Hi all, I've been searching the web for hours but couldn't find a solution: I set up my quotas on my Exchange 2010 SP1 server on a database-basis. This is working so far. OWA shows the size-bar correctly and actions (prohibit send/receive) are also taken... But there aren't sent any notification mails to over-quota-users! Is there any service that has to be activated or started? Do I have to set up a special connector or rule? NDR are sent properly though... I would be grateful for any hint leading me to the right direction! Thanx guys! Corvo

thanks for your reply, i already set the schedule with emc. for troubleshooting reasons i set it to be continously from monday to thursday, which imho should repeatingly send messages to overquota-users. but this doesn't happen. Get-MailboxDatabase | fl quota*schedule QuotaNotificationSchedule : {Mo.00:00-Do.00:00}

I set the interval to occur only once a day. Application event log shows up some 8528/MSExchangeIS events ('The mailbox for [...] has exceeded the maximum mailbox size. [...]'. The user in question still doesn't get a warning mail... The event log doesn't show any evidence that the delivery of quota warnings has failed... Any other ideas? Thx! Corvo

Hi, First please check if you have storage quotas settings on mailbox. You can use get-mailbox xxx|fl and then check the value on IssueWarningQuota, ProhibitSendQuota, ProhibitSendReceiveQuota, UseDatabaseQuotaDefaults. Then please try to modify the value on QuotaNotificationSchedule. Note: The QuotaNotificationSchedule parameter specifies when quota messages are sent to mailboxes that have reached one of the quota values. The format is StartDay.Hour:Minute [AM/PM]-EndDay.Hour:Minute [AM/PM]. hi again, recently i installed the new update-rollup. after rebooting the server the quota messages started to be delivered. so everything seems fine now... thanks for your efforts. corvo

Hi everybody, Same Problem : warning message are not sent, and no errors in events logs ... Many mailbox are in "issuewarning" state. Many schedules have been tested. We are Exchange 2010 SP1 I tried to install the last Rollup (Rollup 1 for SP1), et nothing better ... Any ideas ? Thanks a lot Jeremie

Jeremie We logged this issue with Microsoft quite soon after Exchange 2010 SP1 was released. There was apparently some code changes within SP1 that were not documented. After lots of testing the findings where as follows: Mailbox sizes should be >50% of Prohibit Send Quota or >50% of Prohibit Send Receive Quota for the Quota Messages to be fired. Additionally, if you only have a warning limit there is no guarantee that you will receive a warning message For Mailboxes meeting the above conditions the warning messages would fire once during the quota maintenance schedule and will not fire again until one of these activites are performed on the mailbox: - Login and logoff (logging into the mailbox and staying idle will not trigger the quota message) - Receiving e-mails - Saving Messages in Draft Folder - Sending e-mails Not sure if this is clear, but apparently MS are documenting the changes at present so should be available soon

I'm having the same issue here and I find it very strange that there's not a bunch of other people reporting the same issue. In my scenario, even if the above criteria is met, our users don't receive the warning message. The "Prohibit Send" is working as it should, but the warning is never issued beforehand. This is holding up the migration of any additional users to our new Exchange server. We are also running Exchange 2010 SP1 w/Rollup 1. I see Rollup 2 was released but I don't see any mention of anything related to the quota warnings, etc. Anybody have a workaround to this? Any help would be greatly appreciated. Thanks, Jeff

Hi Jeff Apparently since we raised a call with MS in October, I have heard back that MS about a week ago that they have received lots more complaints about the confusions, there is no work around and we are still waiting for MS to document the design change publicly. The amended KB has been written and should hopefully be available soon. Once I have any update I will let you know. Karen

Hi Karen, Thanks for your response.. I also logged a case with Microsoft on Friday but the person I spoke didn't mention anything about this. It seems kind of odd that this design would be how anyone would want to have it. I will let you know if I get anywhere with MS Support. Thanks, Jeff

Here is the official MS response from the case opened. I dont think this is public yet but hope it helps someone days of confusion: Problem: After the installation of Exchange 2010 Service Pack 1, users will get only one quota notification message regarding their mailbox size. This is a change in behavior from RTM versions of Exchange 2010, where a quota notification message get generated every time quota maintenance is run. The following behavior will be noted in the quota messages after Exchange 2010 Service Pack1 is installed: 1. A mailbox that has never received a quota notification since the Exchange server was upgraded to SP1. If this is true, that user will receive ONE email. 2. Anything in the mailbox had changed since the last time quota maintenance had run and only fire quota events/messages if something had changed. The only actions that register as changes are successful saves. If a user attempts to save something and the save fails because they are over quota, then no events will be raised. No events will be raised for deletes either. 3. Warning quotas will not fire unless they are set to > 50% of the prohibit send quota. Additional Information: Prior to SP1, all mailboxes on a server are checked during the quota warning schedule to see if their size has exceeded the quota warning threshold. If it has, a quota warning message is created for that mailbox. In SP1, a new flag now controls whether a mailbox is checked to see if its size exceeds the warning threshold. This flag is set on a mailbox if the mailbox size is more than 50% of the Prohibit Send quota. This means that if the warning quota threshold is set to a value less than 50% of the Prohibit Send quota, it is possible for the mailbox size to exceed the warning threshold but still be less than 50% of the Prohibit Send Quota. In this case the mailbox will not be checked during the quota warning generation schedule and will not receive a quota warning message. In addition, once a mailbox has been checked during the QuotaNotificationSchedule (per database), the flag is cleared. This means the mailbox will not be checked again until the flag is reset. This happens when either a message is saved in the mailbox or a message is submitted. At that point, if the mailbox size is more than 50% of the Prohibit Send quota then the flag is reset and the mailbox will be checked during the next QuotaNotificationSchedule time slice. Workaround: Set a Warning limit greater than 50% of the Send limit. If an administrator wants to see who is over warning/Prohibit Send/Prohibit Send\Receive limits, he/she can increase diagnostic logging. Set event logging to 'Expert' level (7) for HK\System\CCS\Services\MSExchangeIS\Diagnostics\9000 Private\Storage Limits. No need to restart store. The next time the QuotaNotificationSchedule is run, events will be logged detailing mailboxes that have exceeded the Issue Warning storage limit, the Prohibit Send Storage Limit, and Prohibit Send and Receive Storage Limit. To see the QuotaNotificationSchedule for each database, run: Get-MailboxDatabase | fl Name, QuotaNotificationSchedule
