Exchange 2010 Retention Policy deleting Notes
I am running Exchange 2010 SP1 and I have the following retention policy defined with the following retention policy tags that I am starting to apply to all mailboxes: 14 Day Delete of Deleted Item Folder Delete and Allow Recovery 90 Day Delete of All Other Mail Folders Delete and Allow Recovery 90 Day Delete of Inbox Delete and Allow Recovery 90 Day Delete of Sent Items Delete and Allow Recovery I am getting compliants from users that their "Notes" are being deleted. I thought the Notes folder would not be touched just like Contacts, Calendar, and Tasks would not be touched. I believe this changed with Exchange SP1. Can someone verify if this is correct? I do not want Contacts, Calendar, Tasks, nor Notes touched at all with my retention policy. How can I configure that "All Other Mail Folders" have their mail items deleted after 90 days without Notes being touched. I found one article that states I can create a Tag and set the tag to "disabled" but does this mean that it will not touch the folder or just ignore the tag altogether and still process Notes under the "All Other Mail Folders" tag? http://blogs.technet.com/b/exchange/archive/2011/08/05/prevent-archiving-of-items-in-a-default-folder-in-exchange-2010.aspx Could another option be to create a retention tag that will delete the Notes after 24,855(max) days (i.e. 68 years)? See this to help you understand- http://technet.microsoft.com/en-us/library/dd297955.aspx The notes folder is supported with SP1 which is why it's being deleted by 90 Day Delete of All Other Mail Folders Delete and Allow Recovery You can also create retention tags with retention disabled or disable tags after they're created. Because messages that have a disabled tag applied aren't processed by the Managed Folder Assistant, no retention action is taken. As a result, users can use a disabled personal tag as a Never Move tag or a Never Delete tag to override a DPT or RPT that would otherwise apply to the messageSukh

Hi Steve, I think Sukh has answered your question: As a result, users can use a disabled personal tag as a Never Move tag or a Never Delete tag to override a DPT or RPT that would otherwise apply to the message. So you can apply one personal tag (Never Delete) on the notes folder, then the tag 90 Day Delete of All Other Mail Folders Delete and Allow Recovery will not work for the notes. Thanks for the responses. We do not have Enterprise CAL's so we cannot use personal tags. I am restricted to RPT's. So I am correct that I can create a RPT for Notes and make it disabled and then add this new RPT to the retention policy that I am applying to all mailboxes? I currently have a new RPT applied to the retention policy that will move the Notes to the Deleted Items folder after 24855 days.Steve
