Exchange 2003 Public Folder Calendar Problems
We have two problems we'd like to solve: 1. When scheduling a meeting using a Public Folder calendar the Free/Busy information is greyed out. We would like to know when the room is scheduled to be occupied. 2. When a meeting is moved or deleted, the Public Folder meeting is not moved or deleted. We would like to delete it once and have it deleted on both the users personal calendar and on the Public Folder calendar.

Public Folders arent designed for this. Create a resource mailbox instead and either book it directly or use the auto-accept agent: http://msexchangeteam.com/archive/2006/02/22/420275.aspx http://technet.microsoft.com/en-us/library/aa997184(EXCHG.65).aspx

Andy’s right. The KB below explains the design of Free/Busy information regarding public folder calendar, and it’s also applies to Exchange 2003 Public folders set up as calendars do not publish Free/Busy information For second question, the behavior can be reproduced if I put the public folder calendar as a resource. (Exchange 2003 + Outlook 2003) However, the meeting can be removed if you create the meeting from public folder calendar itself. We've created a user and set it's mailbox as a resource mailbox following these directions. http://www.msexchange.org/tutorials/Booking-Resources-ExchangeServer-2003-Outlook-System-2003.html It is still showing No Information. Is there something else we need to do to make the mailbox show the Free/Busy information?

If your settings are correct than increase diagnostics logging to view the issue. Else as Andy discussed auto-accept is a better option .. pl check admin guide http://www.microsoft.com/downloads/en/details.aspx?familyid=3d0884e6-c603-491d-bf57-acf03e046bfe&displaylang=en

I actually had to login to a computer it seemed before the scheduling information showed up. I thought I just had to login to Outlook, but I guess not. I've read through the Auto Accept vs Direct Booking problem. I'm not real sure the advantages Auto Accept has over Direct booking in our case other than the Free/Busy 15 wait?

There are a number of advantages to the auto-accept agent, however there is no requirement to use it if direct booking is working for you.

We're open to using the Auto Accept agent, but we'd rather not install something unnecessary on the Exchange server. Could you list a few of the top things that you feel are useful for most businesses? We're using these for our conference rooms.

My big three for using the auto-accept again woud be: Eases permissions management Eliminates free/busy latency Allows for the removal of comments and attachments. Note that if you upgrade to 2007/2010, this is all built-in to the product.
