Exchange/Outlook 2003 distribution list: mail-enable and work as forwarder?
A customer of our company wishes to do the following: maintain a distribution list in Outlook 2003 which is mail-enabled, that is, it should be possible to send an e-mail to the e-mail address of this distribution list. For example, when one sends an e-mail to dl@test.com all the people within this distribution list should receive this e-mail. It should work as a forwarder, and the administrative employee should be able to change the people within this distribution list. To clarify, it should be possible to send an e-mail to this distribution list from outside the company (the internet), and then this e-mail should be received by the people which are in this list as well. This is different from traditional distribution lists which employees create for internal use for themselves and each other. We know this can be done in the AD with a global distribution group working with contacts. But as this administrative person is not an poweruser this is not an option. Everything should be done from within Outlook and with contacts that are already present there, to add these contacts to the distribution list. They use Server 2003 with Exchange 2003 in combination with Outlook 2003. Thank you in advance.

Hi, Please open ADUC installed on the Exchange server to create a distribution group, you can follow this KB: How to create a distribution list (distribution group) in Exchange Server 2003 http://support.microsoft.com/kb/821904 After you create the DL and add members, please go to DL properties-> Exchange General, make sure the "From authenticated users only " is not selected. Then go to "Managed by"->change(add the administrative employee), click "Manager can update membership list", thus, the administrator can add or remove the DL members.Frank Wang

Hi Frank, Thank you for your reply. I've been through the steps you described. I have a few questions at this point from the position of this administration employee. Can this DL be managed from within Outlook? It seems that everything must be done from within ADUC as only AD object SMTP "Contacts" can be member of the DL. So this employee must be able to create/delete AD "Contacts" in ADUC? In an ideal situation we want the employee to add contacts from the public folder contacts list or the personal contact list in Outlook to the DL. Can you please tell us your view on how this non-administrator (employee with few rights and permissions) who only works in Outlook manages this DL? Thank you in advance.

Hi MIEGroup, Sorry for delay response, I must lose the alart. After you add the non-administrator to the Managed by tab, the non-administrator can manage the DL in the outlook. Please find the DL in the Address Book, go to DL properties, you can modify members of the DL.Frank Wang

Hello Frank, After we added the non-administrator we are indeed able to manage the DL in outlook. Although, the adresses we want to add to the DL are in a shared contact list. Faith wants it that this list cannot be seen when editing the DL. Any ideas?

Hi MIEGroup, The only way I can find is that you have to create the related contacts in the AD. Frank Wang

Hi Frank, Said to hear that! Was hoping there would be another way. Maybe there will be other possibilities when we update exchange to 2010. Thanks for the help so far!
