Email message arrives multiple times
I have an email user who recieves an email from a particular company's email server. The message arrives, butcontinues toarrive once every 4 hours. the only way I've been able to get the message to stop arriving is to ask the admin from the sending server's companyto remove the offending message(s) from their outbound SMTP queue. This is only happening between my company email server and thisparticular company. We're thinking that the sending company's email server is not hearing the message from my server that the email message arrived successfully (I'm not sure what that signal is called, stop command maybe?). Once the message is manually removed from the sender's SMTP queue the message stops coming, but every time a new message is sent from the the sender's email domain to my email domain, it will arrive again and again until the sending admin removes the message fromhis queue.Again, This situation is only happening between my system and this one other company. All other email operations between my company and the rest of the world seem to be normal.Any suggestions on what I can do on my side to inform thier mail server that the messages have arrived successfully would be appreciated.Other steps taken:I verified with the Message Tracker in System Mgr that the emails that keep arriving have the same message ID (seven log entries per successful arrival)I tried blocking permission to the original sender's email address to the intended recipient for 6 hours over the weekend in hopes that an NDR might also clear the sender's smtp queue, it did not.Other details:I'm not sure what email system they have on thier end, but my email server is Exchange Server Std.2003 SP2. My Email client isOutlook 2003.Thanks again to anyone with a response!

Would it be possible for you to check any Outlook rules on the problematic users on sender as well as reciever?? Run outlook.exe/cleanrules on sender and outlook.exe/cleanrules on recipients Mailbox too.. Vinod |CCNA|MCSE 2003 +Messaging|MCTS|ITIL V3|

I just found out that theother company uses a novel email system (version 4.x) and groupwise for their email client. I ran the /cleanrules switch on my outlook client (2003 sp3) but will need to wait to see if the message sends again. Since I started working on this issue with the admin at the other company, it is email from him to me that keeps repeating. Also these messages arrive at my windows mobile 6.1 smartphone as well. I'm not an expert at mail transport,so I am curious as to what client only rules in outlook would do to cause this problem. FYI i had no rules other than a fewmove to folder on arrival rules which were deleted when i ran the /cleanrules switch (I can recreate if needed, so no problem). Also, the original end user on my side with problem has no rules other than a single move to folder upon arrival rule.Is there anything else I might try in the mean time?Thanks!

Hi, I don't think it's a client side issue. Please check your SMTP log, at the end of the session of this email, there should be a "250 queued mail for delivery". If this packet is not received by remote server, the remote server could resend the email. In order to confirm this, I suggest you ask their admin to check their SMTP log to see if they received this package. If not, its a network issue, and we need to troubleshoot why the package is missing. However, if they received "250 queued mail for delivery" and still send the mail again and again. Elvis,On Message Tracker on my Exchange server I see a log entry for the message that states, "SMTP: Message Queued for Local Delivery" Is that the packet that I want to see?I have also emailed my contact at the other company and asked him to look at his SMTP logs.Thanks again,

you should check SMTP log, not message tracking log. It should be in \windows\system32\fogfiles\smtpsvc1 by default. Not sure if you enabled it, if not, enable it and reproduce the issue, then check the result again. Ok. We turned on SMTP logging. I will ask the company with the remote server to send me another message or two today. I'll let you know when I have an update. Thanks.

Good timing on this one. No sooner did we turn on the SMTP log that I recieved a message from the remote server which keeps sending messages over and over. Our SMTP log does in fact show that on every message we send, a 250 packet is generated. I let my contact at the remote company know this, and am waiting for a response.

Interestingly the admin on the remote email server side has found multiple posts on the internet describing problems for groupwise servers sending to email servers from companies that use MXLogic (a spam filtering service). We use MXLogic here, therefore this may be the issue. I put in a service request with MXlogic to see if they have any suggestions--I will post again when I hear back.On a side note the email sender also uses a Cisco PIX firewall on thier network. One of the suggestions from my IT consultants was to turn off the Mailguard feature of the firewall (see http://www.eudora.com/techsupport/kb/2539hq.html) but this had no affect when tried.

Just an FYI,From what I can tell this issue is still being investigated by MXLogic. I posted a request for an update a few minutes ago. fortunately for me we don't recieve too many emails from the company with the GW server that sends multiple copies. I'll let you know when I hear something new. . .

Hello, I would like make a summary for the current issue: The issue can has the following root causes: 1. Remote server side issue: Something wrong with remote mail server, they just simply send mail again and again to your server. 2. Your server side issue: As I explained before "at the end of the session of this email, there should be a "250 queued mail for delivery". If this packet is not received by remote server, the remote server could resend the email" Form the SMTP log, we could see your sever send this command. So there is nothing wrong with your Exchange server. 3. Network issue: Some network devices or third party software block the communication between your server and remote, the "250 queued mail for delivery" is not received by them, so they sent the mail again and again. But it's a networking issue rather than Exchange. Hope it clarifies your question. Thanks, Elvis
