Double booking: Prevent users from inviting resources as Attendees

Hi!

Users often select room resource mailbox as Required Attendee when creating meeting which causes double booking.

Is there any way to make 'em book resource mailbox only as resource i.e. warning message or something?

Hi Alexey,

Generally, if the user adds a room mailbox as Required Attendee, the room mailbox would be automatically resolved as a Resource instead of Required Attendee. It would not be double booking for the room mailbox.

Please confirm your scenario and check the detailed information of your double booking issue.

Yes, you're right. Resource Attendee is automatically resolved as resource.

Looks like the problem occurs when users just choose Location.

In this case resource is empty.

Is there any way to block drop-down list for Location?

Hi Alexey,

I didn't find the method to block drop-down list for Location in Outlook.

Personal suggestion, we can consider the following method as a workaround:

Please set the resource mailbox calendar processing to AutoAccept. Then the conflict meeting request would be declined automatically. It would prevent doublebooking in resource mailbox. To set calendar processing for room mailbox, please run the following command in Exchange:

Set-CalendarProcessing -Identity conference room1 -AutomateProcessing AutoAccept
