Deleted Items flush via policy - Stopped working
Hi all,Deleted Items are not flushing as per policy. Used to work but now doesn't.We have setup the following recipient policy (Mailbox Manager Settings). Environment is Exchange 2003 - clusteredRECIPIENT POLICY SETTINGSRecipient Policy Name - Deleted Items CleanupRecipient Policy Priority - 1Mailbox Manager Settings - Delete Immediately - all items from Deleted Items folder with age of 7 days of any sizeGeneral - query finds all users with a Exchange mailbox (9000+ mailboxes - my mailbox is found in the list)MAILBOX MANAGEMENTServers are set to run Mailbox Management every Saturday from 12-2amTROUBLESHOOTING PERFORMEDObtained the deleted items policy objectGUID using ldp.exeConfirmed that my account does NOT have this GUID included in the msExchPoliciesIncluded section as it did beforeTry re-applying the policy with no success by right-clicking on the policy and selecting Apply Now.

Hi, Would you please let me know whether only your account encountered the problem? If only your account encounter the problem, I suggest you dump your user object attribute and compare with other good user object to troubleshoot the issue. XADM: Alternative Methods to Obtain a Dump of an Object http://support.microsoft.com/kb/271201/en-us I would like to explain that you need to check the msExchPoliciesIncluded and msExchPoliciesExcluded attributes of the problem user object. You can also post the two attributes here of the problem user object and let me know the desired mailbox manager policy objectGUID In addition, I suggest you increase diagnostic logging for RUS: MSExchangeAL\LDAP Operations MSExchangeAL\Address List Synchronization Then, right click the Recipient Update Service and click Update Now. Please check whether any related warning or error event can be located in the Application log Thanks, Mike

Appears to be a "time" issue. That is, I increased the maintenance time and it appears to be flushing some items from a test user. Is this normal?

More info for you. OK, it appears to be working...sort of. However, there are users complaining that old email still exists in the deleted items folder. For example, DI flush is working on most messages now but will not remove older messages. We have a user that has email in the DI folder back in June '09

Hi, I suggest you refer to following KB to check following MAPI properties of the old messages which are not removed: PR_MESSAGE_DELIVERY_TIME PR_CLIENT_SUBMIT_TIME PR_LAST_MODIFICATION_TIME Message age limit properties that are used by Mailbox Manager in Exchange Server 2003 and in Exchange 2000 Server http://support.microsoft.com/kb/302804/en-us You can use the MFCMapi tool to check the MAPI properties of the message. Ran the MFCMAPI tool but cannot figure out how to get to the Deleted Items folder...any ideas?

Ignore my last message. I figured it out.I have checked the message and the time/date does show June 1, 2009 but it is not flushing from the deleted items after seven days. Any other thoughts?

Hi, Would you please let me know whether? 1. Whether the correct Recipient Policy apply to the problem user? You can check the msExchPoliciesIncluded attribute. You should get information like below: {<email policy objectGUID>},{26491CFC-9E50-4857-861B-0CB8DF22B5D7}; {<mailbox manager policy objectGUID>},{3B6813EC-CE89-42BA-9442-D87D4AA30DBC} {26491CFC-9E50-4857-861B-0CB8DF22B5D7} represent email policy and {3B6813EC-CE89-42BA-9442-D87D4AA30DBC} represent mailbox manager policy. 2. Whether all the expired messages are not removed from the problem users mailbox or only some messages are not removed. 3. If only some messages are not removed, whether they are normal messages or Calendar/Journal messages 4. Whether the problem messages size exceeded the setting of the Recipient Policy 5. If only part of messages are not removed in the problem mailbox, would you please save a problem message to me by using following method for further check: a. Logon the Problem Users mailbox by using MFCMapi tool (Please use online mode profile) b. Open Deleted Items folder and locate the message c. Click Actions and click Save Message(s) to File, please select Text file d. 1. Yes they do apply2. There are a few messages that won't flush even though they are past retention3. They are normal messages4. Policy is set to remove after 7 days no matter what the size (Any size)5. Will get the problem user to send me the message and I'll forward to you.Thanks

Ah Ha...problem is that the user is in cached mode and the item past retention is actually an offline message. Selecting "Clear Offline Items" on the Deleted Items folder properties fixed the issue.
