Cleaning up resource bookings, especially for recurring meetings
Hi, It is often difficult to find available rooms in exchange even though rooms are not physically being used. The problem arises because people book meetings and do not cancel the meeting if the meeting does not go ahead. This occurs regularly on recurring meetings that are often booked months in advance. Unfortunately it is extremely difficult to get everyone to adhere to the proper and socially responsible process. In order to improve the situation, we would like to have a prcoess where the initiator of a recurring meeting is asked to confirm whether the meeting is still active otherwise the instance of that meeting is cancelled. Is there anything inherent in Exchange that can provide a list of the upcoming recurring meetings that have a resource booking included. Alternatively, are there queries or tools that has that capability? Secondly, is there a way to run an automated process will remove just the one instance of a meeting from a recurring meeting booking? Can this be extended to be driven from a list of meeting requests and hence remove a number of meetings from Exchange? is there any processes within Exchange that can remove all meetings for an indovidual when the user is removed from AD or from Exchange? Note. We do not want to stop people from being able to book meetings well in advance, we just want to confirm that meetings that were booked a long time ago are still active. Stephen, As is somewhat evident by the lack of response there is no functionality within Exchange Server to do the things you requested. This would really need to be done via a client such as Outlook under an account with permissions to look into the rooms. I am not familiar with any third party tools that do this either. Sorry for not having a solution but I wanted to make sure you at least got some confirmation from another source. If you've found anything in the meantime that actually addresses this please let us know. Thanks, Wes
