Can I require a mandatory field be completed in order to create a new meeting on our Resource Calendars?
Hi , I have a customer whose company is running the booking of meeting rooms via their Microsoft Exchange 2007 Server. Currently, a user who wants to book a room can do so normally with the resource calendars. However, users are constantly forgetting key in the company reference number for all bookings of meeting rooms. So what I am looking to accomplish is that a user be prompted to fill out information pertaining to the Reference number. If there is no reference number , the user would then not be able to book the meeting room. Is this in anyway possible without custom code or can I accomplish this another way? I am completely open to suggestions for alternatives also Shaun Lee Shaun Lee

Hi As far as I know, exchange doesn’t offer this this function. The easiest way is to approve meeting request by manual. You can set a policy that makes it mandatory for a delegate to authorise the request when anyone books meeting room. This can be done by first setting up the delegate for the catering resource mailbox as above. Then log into OWA (also as above) and set the “These users can schedule automatically if the resource is available:” policy to “Select Users and Groups”. On the “These users can submit a request for manual approval if the resource is available:” policy to “Everyone”. Save the settings.
