Auto-reject a new meeting creation when the resource is not available?
People are telling me that - at other companies - a meeting can not be booked if an invited resource is unavailable for the meeting. Exchange/ Outlook are working normally. That is, a user can book meetings with resources. The problem is that they will receive a notification from the resource only after the meeting is created. The behavior is like this: a user creates a meeting sucessfully with a resource conflict. The invitations are sent. Then, a rejection notice is sent to the user from the resource, after all the attendees have been notified. The location lists a meeting room which is unavailable. And so the user has to find an available meeting room resource and update the calendar item. I have been told there is a way to configure Outlook/ Exchange to alert the user - before the meeting is actually created - that the resource has a conflict. I understand that the Scheduling Assistant allows the user to see which resources are available before inviting the resource. But my request is: is there a way to alert the user automatically - before the meeting is created - that there is a resource conflict?

More on this issue: The problem is especially in recurring meetings. Let's say a user books a room for 10 weeks, with several attendees. On the 9th week, the room is booked. The calendar event is created. All the attendees are invited. Shortly after the booking, you receive a notice from the room resource: Declined All: event name now all the attendees have received invitations with the location, but the room is not booked, and you need to do some workaround with the room to invite it, or create new meetings, or etc. Shouldn't Exchange/ Outlook be able to alert you before the recrurring meeting is created, that there will be a conflict with the room? Ideally, yes. One way to do this is to invite the resource first and after the meeting's booked add the other initees. --- Rich Matheisen MCSE+I, Exchange MVP --- Rich Matheisen MCSE+I, Exchange MVP
