draft documents showing in report
I have 6 documents in are showing up as draft documents under Site Actions > View Reports > All Draft Documents. When I look under the Actions menu for the report (after making sure they are selected) there is only Copy, Move, Delete, CheckOut available. I can't approve/reject. I asked a co-worker to see if he could see the document in the library (thinking he shouldn't be able to if it hasn't been approved yet), and he could. So why are those docs showing up in the report and how do I get rid of them without deleting the docs from the library? There are no mistakes; every result tells you something of value about what you're are trying to accomplish.

Hi, As i understand, you want to approve/reject items and manage the visibility of items. First, if you want to approve or reject an item, you should make sure the content approval setting is applied which you can find by going to Document Library setting>Versioning settings>Content Approval. Then, if you have the permission you can approve or reject under Site Actions > View Reports > Pending Approval instead of All Draft Documents. A item will be moved from All Draft Documents to Pending Approval after it has been published. For the visibility, you could edit it under Document Library setting>Versioning settings>Draft Item Security. If you want manage the visibility of certain item, you may open the dropdown of the item and go to Manage Permissions>Actions>Edit Permissions to add or remove users. Hope that could be helpful. For the library in question, content approval is not required, so there are no items under the Pending Approval report. What I'm trying to figure out is why there are items showing in the Draft Documents report. There are no mistakes; every result tells you something of value about what you're are trying to accomplish.

Hi, All the report menu actions are stored in the “Content and Structure Reports ” list, you can access to the list using the url “ http://<servername>/Reports%20List/AllItems.aspx ”; The answer for the your question is “CAML”. When you view the “All Draft Documents” item in the list, you will get the following CAML Query: <Where><Eq><FieldRef ID="{fdc3b2ed-5bf2-4835-a4bc-b885f3396a61}"></FieldRef><Value Type="Number">3</Value></Eq></Where> For more understanding of CAML(Collaborative Application Markup Lanhuage), please refer to: http://msdn.microsoft.com/en-us/library/dd623935(v=office.11).aspx Best Regards, Egbert

That makes no logical sense to me. You are telling me I have to use CAML to remove documents showing up in the Draft Documents report? There are no mistakes; every result tells you something of value about what you're are trying to accomplish.

Hi run4it What Egbert is showing is a CAML query used by this report to retrive data and present them. If I'm right GuidID="fdc3b2ed-5bf2-4835-a4bc-b885f3396a61}" refers to the document status field and 3 = draft. More over, there is no way to remove anythink by CAML, but this can guide you why those document are on the list. I've manage to reproduce your case on my enviroment and I agree with you that this is strange ! I also have on the list documents with are check-in and have no draf version, so it looks for me like some kind of bug. What could be intresting is to check status of that field with use of SharePoint API. I would advice to write simple app and retrive status of one of those documents. If you do so, then please provide your findings. Mariusz Gorzoch Blog : http://mariusz.gorzoch.pl Twitter : http://twitter.com/MariuszGorzoch

I am not set up to do that. I only have the front end UI and Designer at my disposal. There are no mistakes; every result tells you something of value about what you're are trying to accomplish.
