complex permissions question
To assign permissions in this manner is it necessary to use code-behind on pages or have custom upload pages? I'm trying to determine all aspects of the site and how to configure, then must propose what work needs to be done. Thanks

Hi, In sharepoint none of the above are required. Go to the item--> DropDown--> manage permissions. Thats all is required here. I hope this will help you out. Thanks, Rahul Rashu

A sharepoint site was set up for a large agency so social service providers could put their corporate documents in one place. At first there was going to be a gatekeeper who would upload everything and everyone else would be read-only with equal permission. All can be obtained by FOI requests, but now providers don't want other providers being able to see things so easily, and uploaded documents should only be viewable by the owner of the document and an agency-level group that can see all providers. There will be 1800 providers, each with many documents. What's the best sharepoint strategy to handle these permissions? Is it better to just write a web app instead? I could easily do it with a web app, but we'd like to use sharepoint. Thanks

Thanks for the suggestions. I can't see http://spdactivities.codeplex.com/ since it falls into a category that's blocked here. Will look when I get home. We need at least one administrator to manage permissions. If we have that role in place the rest should fall into place. If it gets too big for one person it would be his or her call regarding what to do. The point is, the role would be taken care of.

You could create a workflow using SharePoint Designer that could assign permissions when documents are uploaded. You'll need to use these activities from codeplex: http://spdactivities.codeplex.com/ Also, with 1800 providers, you'll probably need a list or a way to define who gets permissions assigned to each item. For example, if a document is uploaded with "ABC" as the provider, the workflow would look up "ABC" from your providers list and see who gets assigned permission to that document. Hi, Sharepoint provides you the ability to break and define permissions at all level. hence for each document you can break the permissions and assign permissions to the suitable group and users. I hope this will help you out. Thanks, Rahul Rashu Whilst SharePoint HAS the ability to breakdown permissions on every level, doing so in this instance would breed anarchy. I believe that DMC is looking for guidance as well as a technical "how tos." Something that hasn't been discussed: - What are FOI requests? Freedom of Information? Do you need these catered for within SharePoint? If som as Roland has mentioned, we may need to look at workflow Can you quantify how many documents are expected for each provider, what's the expected growth for instance? What about scalability? How much does this need to be scaled out? Has any provision been made for metadata? What system are you currently using and what problems does the system have? Are you taking steps to ensure that these problems won't be recreated within SharePoint? Do you need to consider extranet functionality? If FOI is what I think it is, have you any auditing obligations? Do you need to keep a track of who has opened what, read it etc? In response to your direct question I'd suggest the following: - Push back as much of this onto the end user as you can. With this much content, having one person take responsibility for all of it is a huge ask, Can you identify areas or people that can take on sub-site administrative duties? Automate what you can. Roland has already provided a great link. I'd think about one over arching site collectionm, with the parent site being a universal gateway of sortsm with the document controller as a site collection admin. You can then create multiple sub sites, one level down but delegate these permissions down to the providers rather than taking that on yourself. Give them training and support as needed but explain that permissions management and document visibility are thier own concerns. Hope that's of some use, please let us know if anything else can be expanded.Steven Andrews | SharePoint Professional | http://www.twitter.com/backpackerd00d | https://baron72.wordpress.com/
