Sharepoint documents keep disappearing, what causes this and how can I fix it?
Hi All,We have a sharepoint 2007 server with SP1 running on windows server 2008. It's running fine except for one single very serious issue. Documents go missing out of the portal!They don't go missing straight away, as in they can be uploaded and will be fine for a week or a month, then when we're looking for the document in the future it is not there. Furthermore, when they go missing, there is no trace of them anywhere, not in the site recycle bin, not checked out, it's like they were never there in the first place.I also ran a sharepoint 2007 server on Windows server 2003, so that rules out a specific problem with the operating system.Could someone please advise me how to fix this?

Does this happen in any list or library and to any type of document? Is it just documents? Is it in any doc lib? is it any type of doc? Do you have some sort of retention policy set on your doc libs?SharePoint Architect || My Blog

Do you have enough disk space on server? If you can download Sharepoint Desinger 2007 is free http://www.microsoft.com/downloads/details.aspx?FamilyID=baa3ad86-bfc1-4bd4-9812-d9e710d44f42 Open you Sharepoint Site and on left will show document libraries and Other folder of your sharepoint site, expand and verify uf you have there all documents. Are you a adminstrator user or a normal user? Are you using advance settings like check in all document? do you some workflow for approve? If this is true, only admin/approvers can see document until is approve final users cant see. Hi thanks for the quick reply,* It happens to any office document (it hasn't happened to PDF's yet that i'm aware of)* There is only one document library, but it happened when the same library was on a different server (also MOSS2007)* How do i find out if there is a retension policy on docs?

In regards to retention, check the Information Rights Management and any workflows associated with the library.Be sure whenever you have a problem like this to test and make sure it is duplicated in multiple places. I'd create a new doc lib on the same site with no frills and see if the same thing happens.SharePoint Architect || My Blog

I checked the Information Management Policy Settings and there is no policy set, and so there is no retension policy. The current doc library is a no frills lib - nothing additional There are no workflows set up and never have been. Library is covered by an index Folders have never disappeared like this, only documents. There is approx 100GB free on the server and 1 GB of Ram (but it also did this on a different server which had 4 GB of ram) What would you suggest I do next?

Hi RaghavanS,* How to I check the event handlers for the list?* It is a single stand-alone server, it has happened on another stand-alone server also.* It happens to all office documents, documents (not folders)* There are no workflows set up for this document library. The documents are uploaded, and they appear for a while but then some time later they are not there - gone without a trace. No recycle bin items, it's like they were never there.

Hi Callumitus,My Understanding:1) This is happening for all the document libraries in the Site / Site CollectionSteps to check if any workflow is attached to the document content type [not to the doc library]:1) Go to the library2) Settings --> Document Library Settings3) Choose Advance Settings4)set "Allow management of content types?" to "Yes" [if not set]5) Click on Ok6) You will see a section called content type7) If there is no custom content type attached , you will see a content type called "Document". Click on it8) Click on "Workflow Settings"9) Check if any workflow are attached10) If you find no workflow is attached, retract the steps you performed and set "Allow management of content types?" to its old valueSteps to check if any event handler is attached:1) Go to Site Action --> Site Settings --> Site collection features2) Check if any custom features are enabled, from the description try to guess the functionality of itHave you used any other custom components like Custom Site Definition? Hi Raghavan, I set "allow management of document types" to "yes" as it was previously "no" Then I looked at the workflow settings and there were 3 workflows (approval, collect feedback and collect signatures), even tho I never created any workflows. I was unable to find the "Site Collection Features" option under Site Actions > Site SettingsI have not used a custom site definition

We are experiencing 'disappearing' files without a trace as well (MOSS 2007 SP2). We can upload successfull, build links, test the links, but then after some time the file disappears without a trace, and no known event process purposefully removing the file. I've been "Bing'ing" and "Googling" like crazy trying to find some explanation. Did the files you lose have some special characters in the name? My most recent file lost contained "_" in the name.

Some of our documents contain a "-" and some contain an "@".Almost all of our documents contain a special character of some description.

Callumitus, there is no "procedure" listed there. Those were simply steps to CHECK the status of things. Nothing was changed with those steps. You were just supposed to see if there were any workflows associated with the content type(s) being used in that doc lib. The 2nd set of steps was to check for any custom features showing up at the site/site collection level. From what I saw above, you did the first set of steps and found the 3 OOTB workflows that would be expected: Approval, Collect Feedback, and Collect Signatures. Again, these are OOTB for MOSS, so you should expect to see them with the default content type. Their presence is expected, and you didn't change them anyway, right?For the second set of steps, you said you couldn't even see the link for Site Collection Features, so my guess is you aren't a SharePoint admin for this environment, because you'd a) see the link, orb) would know that you have to go up to the top-level of the site collection to see this link (or simply follow the link from sub-sites that says "see site collection settings."You haven't yet seen if there is a custom feature installed, and you didn't change anything with the above fact-finding processes, so I don't believe you have made any changes that would do anything unless it was unrelated to what you pasted.SharePoint Architect || My Blog

We've just experienced a disappearing folder with documents. How does this happen? Nothing in the Recycle bin. Will log files show what happened?

I have also come across the same issue. However, after troubleshooting i found that "Team Collaboration Lists" feature is the problem. If i activate the same then my disappeared document library appears again. I don't know is this a known behavior of Moss.

I have experienced this issue also. Today, user reported that a file (excel spreadsheet) that she was editing yesterday, and saved again to the SharePoint library - today the file is missing. It is not in recycle bin, etc. She can find a link to it by doing a search, but clicking on the link gives a 404 Not Found error. (I have verified the same). I can find nothing in the logs, etc. Has anyone found a solution to this problem yet? Has microsoft even acknowledged that it occurs? thanks, Peter

Has anyone else verified this solution? Today a user reported that her document - an excel spreadsheet that she was editing yesterday - today it is missing. The "Team Collaboration Lists" feature is already enabled on this site, so that is not going to provide a solution for me. thanks, Peter

I found the “disappearing documents” dilemma only occurred with Word documents. The solution that has worked for me (at least for a couple of months) is to disable Word Fast Saves. Fast Save is an option in Word 2003 through Word 2003 SP2. Microsoft removed the functionality in SP3 and newer. To disable Word Fast Saves, perform the following steps on each client workstation or if you have the infrastructure, apply a Group Policy Object to all client workstations running Word 2003 SP2 or older. 1) Open Microsoft Word 2003. 2) Click on Tools, Options… 3) Click on the Save tab, and then uncheck the Allow fast saves checkbox. 4) Click on the OK button to accept your new settings and close the Options window. I had a similar problem. user opens a document from sharepoint, edits it and saves it back to sharepoint. Afterwards the file is gone ... nowhere to find, not in Recyle bin or elsewhere. After long troubleshooting I found the solution: the files where all in the quarantine folder of our viursscanner (Trend Micro Portal Protect). Hope this helps someone! Martina
