SharePoint 2010 Search Scope - Exclude list items

I have a list that manages parcel collection. I have set up a search scope (CA level) to search the list, which is working fine, but I would like to exclude parcels that have been collected if that is possible.

I have created a rule as follows that currently isn't working:

  • Scope Rule Type: Web Address
  • Web Address: Folder - http://Server_Name/Site_Name/Lists/List_Name?Collected=No
    (also tried http://Server_Name/Site_Name/Lists/List_Name/AllItems.aspx?Collected=No)
  • Behaviour: Exclude

Any advice would be greatly appreciated.

I have just learned that ? is a wildcard character when used in Crawl Rules (http://technet.microsoft.com/en-us/library/cc262926.aspx#section5 - Plan to manage the impact of crawling section), could this apply to the search scope rules too?

You currently have a scope for the list (CA level) which I assume has a web address rule (include). So you could add a property exclude rule to this using a managed property for the Collected list column. Create a managed property for this list column and make sure to allow the managed property to be used in scopes. Then run a full crawl. You should be able to set up the property exclusion rule for Collected=No.

Good morning Steve,

Thank you for you reply and apologies for the delay in getting back to you.

I have added the managed property but the rule still isn't working.

Very difficult to see clearly the image. However it looks like you are using a folder rule for the exclusion of Collected=No. This should be a property rule not a folder rule. When you create the new rule you must select the property option and type in the name of the managed property that represents the Collected field in your list. For example, Collection=No .Your first rule looks like a required rule. This should be an include rule so you can use the exclude rule with it.

That makes complete sense now that I have the column in as a managed property :)

I have added a new rule using the property query option and can see it working straight away.

Thank you very much.
