Setup e discovery on SharePoint 365 / Online

Hi I have been trying to find out how to set up correctly the permission so my e discovery can crawl the data from all the different site collections without any success, if any of you can help me I really appreciate it.

Hi  ArturoVazquez,

People who perform eDiscovery must be able to view all content that is potentially discoverable. We recommend that you create a security group for eDiscovery users, and add the appropriate users to the security group. Then you can grant permissions to the security group, instead of to individual users. Choose a name for the security group, and record the name in the worksheet. Also record which users will be members of the security group.

Within SharePoint Online, eDiscovery users must be able to view all content. You should add eDiscovery users as site collection administrators on each site collection that contains discoverable content they will need to work with. Access to the crawl log needed for items that could not be indexed.

Could I suggest you consider the following as an alternative...

  1. Create a group for ediscovery users, rather than adding each use independently. This will make it easy to manage new ediscovery users in the future. Another reason for this is because if you have to add a new user to each site collection then the search engine will have to recrawl all that content. If you add them to the group, the crawl doesn't need to be redone.
  2. Once you have your eDiscovery user group created, give this group read only access to content at the webapp level, rather than giving read only access to each site collection. This will make it much easier to manage also.
