SP Approval Workflow - Update List Item Updates List as WF Initiator

Hi All,

I have an issue with an approval workflow developed in SP Designer 2010.

The workflow I have created has five stages of approval and at each stage of approval I need the approver to write some comments in the comments field in the Outlook form which then writes back to the original list. The problem I'm having is when this is done the list is actually updated by the employee who initiated the workflow. Looking at the version history the original list is only updated by the initiator none of the approvers have made any changes to the list at all. I have tried searching online but can't seem to find anything about this issue.

Has anybody seen this problem before? If so do you know a work-around/resolution?

Any further info required please let me know.

Hi,

I understand that you want to update the original list with comments which approvers type in the approval email.

How did you configure to achieve your requirement? Please follow the steps below and then test whether it works.

1. Access approval workflow in SharePoint Designer 2010 and edit the workflow.

2. Click Approval link in start Approval process on Current Item action.

3. Select start Approval process on Current Item.

4. Find When a Task Completes Step > Open Log from Approve or Reject condition, you will get comments

5. You can assign it to existing comments column of original list.

Thanks,

Those are the steps I am following, after step 2 I have used the link Change the behaviour of a single task, then found the When Task Completes Step, and created an update item action. Which then updates not only the comments but other information from the form the approver has entered. However looking at version history on the list it states the initiator has updated the list.

Jon Smith - Initiates Workflow

Jon Snow - Approves, adds comments to form

SharePoint List is updated with approval comments by Jon Smith.

To get around this I am having to have the comments field include the [Current Task:Modified By]. See image below, apologies I've had to replace the names in paint due to sensitivity issues.

Hi,

How did you configure update item action?

I configured update item action, shown as figure below.

And the result is:

By the way, thanks for your sharing.

I have configured it the same way.

If you begin the workflow in the list, and somebody else writes the comments, the list will state you have added the comments as you started the workflow.

Is it possible for you to test this scenario?

Hi,

I have tested according to what you advised. And it's better to use your approach.

Thanks for your sharing again.
