News Groups for Engineering Change Notice Distribution
Our Engineering Department serves 3 Manufacturing facilities and 5 offices. When we complete an Engineering Change we need to distribute the notice. This has always been done with MS-Exchange E-Mail groups. Problem is, the groups now blanket far too many people. All efforts to narrow the focus of the groups only results in more E-Mail groups. Our average employee is now experiencing E-Mail overload. One recent notice went out to 50 people and only 10 actually needed to see it. We have SharePoint 2007 MOSS. I am interested in setting up news groups instead of distribution groups. Users could chose the conditions where they need to see the notice. I need advice on how to get there.. Thanks

Hi, I understand that you want to create a new group instead of the distribution groups . In the new created group the user can filter to see the notices which are related to him . My suggestions are like this: 1. Create a new group and put the users who you want to receive the notices. 2. Create a new view which has a column named Assigned to . We can achieve this by doing :Browse to Announcements and click Settings>Create column. Name the new column Assigned to and choose the type of information in this column :person or group . Set this column is required to contain information in Additional Column Settings and select Account in the show field. 3. Create a new view :Settings>Create View>Standard View. Make sure that ‘Make this view default view ’ is chosen. Make sure that the column Assigned to is chosen to display in the Columns field . In the filter field we can choose to show items only when the following is true. Show items when column ‘Assigned to’ ‘is equal to’ ‘[me]’ .Then click OK . 4. Now every account can only see the Announcements that are Assigned to him . Or we can achieve the goals by using Specific Audiences. The procedures are like followings. 1. Enable audience targeting on a list or library: a. Click the list or library that contains the item you want to target. b. On the list toolbar, click Settings, and then click List Settings or Document Library Settings. c. Under General Settings, click Audience targeting settings. d. Select the Enable audience targeting check box. 2. Specify the target audience on the items : a. Click the arrow next to the name of an item in the list or library, and then click Edit Properties. b. In the Target Audiences list, add one or more audiences. Hi Michael, As I understand, you want the users to make choice if they need to see the notice by themselves. It's hard to implement it, but you may consider some workaround. If you don't want to create more groups, you may send the email to your site. You can active this feature by going to Incoming e-mail settings under document library setting of the site you want to be sent. The notice will display under shared Documents. What's more, you could manage the permission to decide which groups could see it. Hope that could be helpful. Regards, Egbert
