Modified By Permissions
Good Afternoon folks, I need to better understand what permissions are required to view all entries in the modified by field of a document library. Currently i can view all documents that i have edited but the rest are blank. If i log in as a farm admin i can see all of the modified bys filled in by all of the different users editing them. Any thoughts here? I can provide some screen shots if neccesary Thanks Andy Pe

you need atleast Design level permission, but "ful control" is also not bad. hope this will works thanks -wsi am at SharePoint administrator

Hi, your problem statement is not clear to me. If you are looking to see "modified by" column then your current permission is enough. Just check the "modified by" column is included in the view what you have seen. Hi Arup, I have full control over the document library. In the modified column i only see my name. The farm admin account sees my name as well as others that have added folders in the library. I need everyone who has full control/design rights to be able to see all of the modified by column filled in. Thanks,

Can you post those screenshots for us? Can you also provide a screenshot of your views and view configuration please. I'm not sure I'm getting what the problem is. The "Modified by" column is an automatically populated field that is edited upon a list item or document being edited. It should be viewable from reader level upwards. Some other things to check. 1 - Have you got mandatory metadata turned on? If so, the full permission account will see the document in its "incomplete" form, including the last modified by. 2 - Have you got document approval turned on? If so, then again, the full permission account will see these documents and relative metadata until the appropriate approver has approved the document. I don't think either of those should affect the visibility of the "modified by" column, but its worth looking at, just in case they are.http://www.final-exodus.net

Sorry if this isn't more clear. Log into my dept site as farm admin and open the document library - i see modifed by filled in with all of the various dept users that add/edit files and folders in the library. If i log into the same site as myself i only see my name in the modified by field of files/folders that i have edited and the rest of the folders/files that have been edited by other various dept users are blank. I assume it's a permissions issue but i am unclear on how to resolve it.

Hi, As Steven's suggestion, please post some screenshots to make the issue clear. What I understand your issue is 1. when you login with your account, you can view right information of "Modified By" field for your own documents only; for other users' documents, the field just has a blank value. 2.When you login with farm account, the farm account can view right information of "Modified By" field for all documents. If I didn't misunderstand you, can you check the "Modified By" filed is a built-in column or custom column? I experience this same behavior before when I am using a custom lookup filed. Additionally If the “Modified By” filed is just a build-in column, please create new library to test it again. Hope this helps Thanks! Stanfford

i figured it out. Site Actions - Site Settings - People and Groups - Settings - List Settings - Advanced Settings - Users set to read only their own items. Thanks for all of your help! Andy
