Intergrating Multiple Task Lists with Outlook
We've currently got a system where we have task lists in sites throughout SharePoint and they are regularly created by users using the meeting workspaces. The users would like their assigned tasks to automatically show up in their task list in Outlook and we have showed some of them how to synchronize the two. However, for many users, they have 1 task here, 1 task there, another somewhere else, and with new task lists being added all the time, they would be forever synchronizing their task lists and deleting old ones. So, first, is there a way to integrate the two systems on the back end so that users are being advised of all their tasks in outlook without needing to go through the steps of synchronizing each list? There wouldn't be a problem with this being a global configuration for all lists. Second, if we customize the list to include new fields, can any of the synchronization happen at all? Thanks Steven

If a user put his documents one in this folder and one in that folder, they will of cause be difficult to organize. It's similar for organizing task items in SharePoint. How is the tasks created? If it is created with a workflow, you can also modify the workflow to send an email to the task assignee with a link to the task. Alternatively, you can ask the user to subscribe to Alert from the task lists. The alert can be set to send alert when a task is signed to me. (see http://www.michaelsampson.net/2008/05/being-notified.html) This way, the user don't have to sync with all the task lists any more, he can just track his tasks with the email alerts send to him.

So, the most used lists are in meeting workspaces. User attends meeting, get's assigned task, wants task to show up in Outlook. Since these are in meeting workspace, we have the issue where workflows need an instance (we could also use help in determining how to add workflows to site templates) otherwise workflows are the best solution that I thought of as well. With regards to subscribing to alerts from the task lists, can this be done centrally for all task lists? or is it on a list by list basis?
