Indexing Columns - Displaying only newest results below

Hello,

We have SharePoint 2013 on premis. I have a library with about 6,100 documents in it. I have set up views to filter on a managed metadata column, and each view should only display a few hundred files broken into 30 document pages. The managed metadata columns is indexed, along with "Modified" date, which sorts the views. It was my understanding that filtered views, plus indexed columns would allow my users to view all files that belong in these views. However, it is showing a limited number along with the error "Displaying only the newest results below."

The managed metadata column is also set up as a Key Filter on the left for users who prefer to view it that way.

There are also a number of files in the Recyclie Bin on this site, from some migrations that didn't work perfectly.

Aside from increasing the list view threshold, what can I do to make these view display all relevant documents? Am I mistaken that filters and indexed columns should have resolved the issue?

Hi Anna- that should do the trick. For some reason you must either be returning more results than you should or you're not filtering on one of the indexed columns? Maybe there are too many results based on your modified date(s)?

It's strange. I am definitely filtering on an Indexed column in my views. And the there is no filter on modified date. All of the views should show less than 400 files.  

When I go to one of my views filtering on the indexed column, the get the "Displaying only newest" error. However, if I apply a Key Filter on the same Indexed column, it will display all relevant documents.

It's almost like the views are not working as they should.

The reason I created the views is because we link back to them on the Quick Launches of other SharePoint sites.

It really sounds like your views are working, especially when you add the key filter and then it's fine. Are you absolutely sure you're not returning more results than your throttle limit in your pre-made views? Try making another view and really limit the results to a very small amount as a test. See if that works.

There are 28 files that have C M Property set to Granada. I can count them when I apply a "Key Filter" to C M Property.

If I go to my view for Granada, which is filtered on "C M Property (Index)" to "Granada", I can only view three files and I get the "Displaying only the Newest" error.

Thank you for your help and feedback! Your suggestions sound valid but for some reason this is still not working for me.

I did comletely empty both the site recycle bin and the site collection recycle bin.

On a related note, if I increase the list view threshold to 7000 items, then my filted view for Granada works, displaying the 28 items that it should.

Could it be that my indexed columns are not set up or working correctly?

This is curious. I'm doing some tests with large lists and can only obtain the message 'Displaying only the newest results below' when I add Managed Metadata Navigation. I would explore 3 things:

- How are your views displayed when you desactivate the Managed Metadata Navigation (Key filter)? Make sure to add a filter on the managed metadata column.

- Is your managed metadata column allowing multiple choices?
