Duplicate records in Datasheet, Excel views
Hi All,We're having an odd problem with one of our massively used sharepoint lists. Basically, the list has got versioning switched off, and views fine in standard list view. However, when you switch to either datasheet view or Excel Export it shows the same rows up to three times in sequential rows. I've added version and modified columns just in case they are actual older versions being shown, but they all have the same version and same modified dates. I've tried creating and modifying a record as a test and this doesn't get duplicated when I edit it. If you are in datasheet view and delete one of the duplicate records, then switch back to the standard view, all records of the item are gone and have to be restored. When you restore the one item, it still shows up upto 3 duplicates in Datasheet/Excel view.We're using SharePoint MOSS 2007 standard 32 bit, version 12.0.6219.1000Does anyone know what's causing this? Having turned on the ID column, it seems that these duplicate records in Datasheet and Excel view have the same ID's. I also tried turning on versioning on the list and tried looking at the version history of an item which had a duplicate. As expected, The item had only one published version. Rob

Hi,i have few doubts do this behaviorIs this behavior for single list or all other lists?Have you checked this in different browser (like mozila) because Sharepoint works fine only with IE?Do you have any antivirus specifically SharePoint antivirus (a suspect some of some virus) ?Or elseDo you have any code or functionality (custom code) written that might be troubling you? manish patil

This problem only afflicts this one particular list, but its not something which can really be deleted and recreated due to its importance. We've customised the editform and the display forms on thelist, but only through SPD and nothing major *(formatting changes only). There aren't any workflows on it. As I say, The normal SharePoint view is fine, it shows one record for each company, but when you view it as Datasheet or in Excel it shows duplicates. I don't believe the Datasheet view would work in Mozilla would it? RT

Add one more person to the list who is experiencing this problem.I get the multiple record issue for some but not all records.My list has versioning ON but requires approval OFF.The only thing I can add is that I believe at one point I turned versioning off and did a "bulk update" using the datasheet view. I then turned versioning back on. However I can't be sure that those were the exact steps I took.

We have experienced this same issue and have a work-around.The affected lists havea REQUIRED lookup field which allows multiple values.If you have aview that doesNOT include this field andit is either a datasheet or you "Switch to Datasheet" then datasheet showsduplicate items depending on how many multi-values are selected.Our work-around was to create a specific Datasheet view with the field included.The multi-value fielddoes not show in datasheet, because multi-value lookup fields don't seem to work in datasheet. However, it's important to includethefield in the viewto avoid duplicates.Unfortunately, if you have a view that does not include the field and then "Switch to Datasheet" you will encounter the same problem. There seems to be no real solution to this.The duplicates appearalsowhen you try to Export to Excel. This concurs with what I've found. Unfortunately, the weird behaviour with fields allowing multiple items seems to be causing this. We narrowed it down by excluding certain columns until the list displayed normally. This is also what we do whenever we get schema errors when exporting to Excel. Its annoying behaviour, especially as its by design, and which will hopefully get cured in the next release of the platform. Mike, sincere apologies for premature bumpage, I will be less obviously time pressured in future :)

Recently i have encountered this issue..To fix this..Check whether the list has lookup columns. If so select the column to make available in the view. This will fix up the issues.But in somes cases there wont be any lookup columns but issue presist. In these case check any column has multi values with choice type. If so select those columns in the view.

I recently encountered the same issue in my farm. From my testing of the issue, Datasheet View is going to spawn duplicate rows(all pointing to the same event) if the item has field types of "lookup" or "person/group" AND either of these fields have multiple values selected. This does not happen with a standard "choice" field. The number of duplicates is going to match the highest number of selections, so if a lookup field for an item has 7 items selected, the datasheet view will have 7 corresponding rows. If the multivalue field is included in your datasheet view, you will not receive the duplicates. Furthermore, if you create a different list and "lookup" the items from the impacted list, the datasheet view on this new list will show duplicates in the multivalue select piece. We'll have to see if MS patched this on the STSLIST.DLL client side or some server side patch.
