Delete Duplicate Emails in Outlook 2010

Email: Microsoft Exchange account

System: Windows 7 Home, 64-bit

I upgraded from Outlook 2007 to a computer with 2010. When starting Outlook after configuring the Mail settings, I expected it to download all my items in all subfolders (it did this after a fresh reinstall of windows on my old computer). Some items were downloaded, many in subfolders of my email were not. I need ALL my mail searchable at once, and this was not happening without me going through each subfolder and waiting for it to complete reconciling/updating.

Using the import feature, I opened a PST from my old computer and selected "Do not import duplicates" but ALL emails were duplicated. Now Outlook seems to be having a fun time uploading those duplicates to the server.

I need a fast way of removing these duplicates without removing the new files Outlook imported. Is there a better way for Exchange Server to update all Folders and subfolders?

Hi August,

You can follow these steps to remove the duplicate messages in Outlook 2010:

  1. In Outlook 2010, select the folder for which you want to delete duplicate items.
  2. Click the View tab in the Ribbon, click Change View in the Ribbon, and then click to change the folder view to a table type view. For example, click the List icon.
  3. Right-click a column heading, and then click Field Chooser.
  4. From the list at the top of the Field Chooser, click to select the All <item name> fields .
  5. Drag the Modified field to the table heading.
  6. Verify that the duplicate items have a unique date from the original set of items. If it is unique, click the Modified heading so that the items are sorted by this field.
  7. Click the first item in the set that you want to delete, scroll to the last item in the set that you want to delete, and then click the last item while you hold down the SHIFT key.
  8. Press DELETE to permanently delete all selected items.

Max, how will this work if the items on that motify date were not duplicated? I have noticed that some folders were not duplicated, and doing the search as you suggest shows up all items.

 

Is there no clever built in feature of Outlook to determine duplicate emails and consolidate them? The clean up feature seems only to retain the latest email of a RE/FW conversation.

I followed your instructions Max Meng but the duplicates do not have a unique date from the original, they are the same. In this case, what do I need to do?

Well, may be you can use the add-in: Duplicate Email Remover for Microsoft Outlook for help, it can find and delete duplicate e-mails in Outlook.

This add-in is not free. You will need to purchase it, while Remove Duplicate Messages is free.

Unfortunately the Remove dupes removes at a snails pace and the dupes keep on coming back...Any other ideas???

I tried this product based on this post. Beforehand, I tried 2 free products that kept crashing and had less capabilities. I also tried a few other free trials. This one is so much faster, does not crash on my 15GB PST file, and gives you folder prioritization, which was critical.

Thanks for suggesting this Outlook 2010 email duplication remover by MAPILab. I really did not want to pay the $24, though. But broke down because I wasted too much time fiddling with the free ones.

 

Also wish they had included contact and other duplicate deletions for the $24. This version only did email.

Sometimes you can not install any additions to the system.
I wrote a solution that will eliminate duplicate messages.
They can implement the same in Outlook VBA Developer by your self.

Yes, except for the fact that none of the articles in either of your posts, nor the script are in english.  That doesn't really help us much. Thanx anyway but I think I'll give one of the other answers a try.

One useful tip for those who accidentally or unwittingly import the same messages twice and may help here.  Open the folder with the duplicate messages. Use Field Chooser to select "Created Date"

Order the messages by created date.  The messages usually run for several minutes in succession on import and there is normally a gap before the second batch of duplicates.

Check the messages when listed by subect to get an idea of the created dates of each batch of message duplicates and then look for these under the created date ordered list to delete the unwanted import batches.  Its safe and it is easy.  If you make a mistake they are still in your deleted folder until you delete that!

My Outlook is 32-bit, I'm running Win 7 64-bit.  When I run the install for this program, I get the following error:

First of all, I would like to beg your pardon for posting something in such an old thread like this one. But I have something that's quite relevant to this topic, i.e. removing Outlook duplicate items. Most of the time, most of the people recommend third-party tool in which most of them are commercialware. Though some online freeware tools are also available on the Internet, but I have never tried them. I just can't share my crucial data with anyone. 

Luckily there is an easy manual trick by using which we can simply remove the duplicate items from Outlook PST files. A duplicate item is simply a duplicate copy of anything, like email message, contact, calendar entry, etc. Sometimes it is generated by itself or by us accidentally.
