Custom report on all checked-out documents from given document library for all users
How to create a custom report which shows all checked out documents from given document library. This will provide more information to supervisor on who is still not checked-in documents into document library. Thanks in advance

You can simply create a view with a filter that shows only documents where the Checked Out To column is not blank (is not equal to 'null'). This will show you a view of all documents checked out to someone. If you need it to specify an individual, then change the filter to show items where Checked Out To is equal to domain\supervisor. Do you need a file or XML stream? What sort of "report" do you need other than a View? Mike, Yes I am trying to post question once, but I received 500 error and first time question was not showing under list. So refreshed page nu luck. Then I posted same question again. I saw both questions appeared. I don't know why this happened. But I have not purposefully uploaded same question again. Clayton, Thanks for suggestion on creating view. But my supervisor is looking for report not view so that he can print or email that to another user. I am looking more information on getting report as file or export to excel. Well, a view is a report. People need to be trained to use the data where it's live instead of always wanting to turn the data into static files that get emailed around. Is your supervisor aware of what I'm suggesting? Does s/he know that with a view, the data is ALWAYS real-time and can be accessed by anyone and everyone with network connectivity without asking to be given a report? It's incredibly more efficient to approach this way, but if you absolutely require and want a physical file that duplicates the data, then here is an option: 1) Create the view I mentioned. 2) Browse to that view 3) Click Actions > Export to Spreadsheet 4) Click Open when promoted, then Enable when prompted. This opens that view in an Excel spreadsheet with a LIVE office data connection to that view. 5) Save the file somewhere on SharePoint or on a shared drive and leave the data connection in tact. 6) You should then POINT people to this file at its location so that anyone can open it, and it will always show the current data in the SharePoint view. However, you could also email it to people who would then open it and be prompted to allow the data connection or not. If they allow it, then the data will be updated dynamically. If they don't, they will see the snapshot of data that was save with the file initially. 7) If you don't want the dynamic data connection to remain in the Excel file, then go to the Data tab > Connections > Remove the owssvr data connection.SharePoint Architect || My Blog

You are correct on educating people to use live data. With your approach I will do only for one document library. Actually my above question is half part, How do you create a view on all checked out documents from all document libraries from sub site? Suppose I have 4 document libraries from SUBSITE called 'mainsite/finance', how do I create view which will give me list of all checked out documents from 4 finance document libraries with your above approach?

Clayton, I am using bit different approach, but I am getting partial success 1. Site Settings --> View All Site Content 2. Under Content and Structure Reports, add New --> New item 3. Give Report tile - 'Checkout documents ', CAML Query - '<Where><IsNotNull><FieldRef Name="CheckoutUser" LookupId="TRUE"/></IsNotNull></Where> ' Now Run this report from Site Settings --> View Reports --> Checkout documents Results 1. Getting all checked out files underneath all subsites (it is recursive) subsite This is giving me results but, following limitations 1. This is giving me all Checked out documents from all sites , not for ONLY subsite like finance or IT or Human Resource etc. 2. Checked out person name is not displaying 3. Not able to get Checked out file location 4. Not able to email this report to supervisor I don't know how to limit search to subsite in CAML query and how to add more ViewFileds <ViewFields> <FieldRef Name="LinkFilename" /> <FieldRef Name="CheckoutUser" /> </ViewFields> Regards, Sanjuo

For that, I would create a data view in SharePoint Designer and create a page that aggregates the filtered items from each of those doc libs in those specific sites by connecting to them as data sources and linking all 4, then displaying on a page. It still won't be something you can email, but I really have a hard time understand why it would need to be an email instead of a direct view into the data. I don't know what you would do to turn that dynamic data view page into a file off the top of my head.SharePoint Architect || My Blog

Hello. So we have gone ahead and created the Report, "All Items Checked Out" across our entire site and recieve back a report that lists the file type, file name, modified date and last created by (which is blank). My systems guy said that there is no way to customize the fields returned by a report. I just wanted to see if anyone knew any way in which we could refine the results (for instance, replace 'Created By' with 'Checked Out To') we recieve from the report we have created? thanks for the help

Hi Sanjoyu, I have gone through your your blogs. Please can you tell me where you are getting "View all sit content" under "Site settings". I am not getting this option "View all site content." Actually my problem is that I have generated 20 Lists. Now i want to generate a report which will contain the data of all 20 lists. Please help. Regards Praveen
