Cannot find a way around WSS capacity restraints
I should introduce myself as a total IT novice, who is picking things up bit by bit in a role over the last 2 months. We are in the process of migrating from MOSS 2007 to WSS 3.0 with the aim to reduce costs, as we use hardly any of the extra features of MOSS. However, we can't work out how SMEs get away with using WSS when the proposed limit for a site collection is 15Gb. Our current total size in MOSS is 16Gb and this is causing us problems (mainly because it was designed wrong in the first place, with all files in the same document library). When we move to WSS, we would need everything in one site collection so that we can search across all material (I understand you cannot search across site collections in WSS). 15Gb doesn't sound like a lot of files to me, so how do companies get around this constraint? We have looked into EDRMS, but very few of these are WSS compatible, and all are very costly, so negate the saving made by migrating to WSS in the first place. Are there any free EDRMS systems that integrate with WSS? Thanks in advance to any replies!

Chris, The statistics I've heard with regard to performance degradation on a single SharePoint content database is more in the 100 Gig range (and this is true for WSS 3.0 and MOSS 2007). However, there are additional performance bottlenecks within SharePoint at certain capacities within individual lists. Often performance issues are encountered with just a couple thousand of items in a single list (Note: This issue has been resolved within SharePoint 2010). I wonder if that might be the result of the 'problems' you're referring to since you mention that all your files are in the same document library. You may notice your existing performance problems resolve upon splitting up your document library appropriately (and any other large lists). When clients anticipate 100 gigs or more worth of data, we split it across a site collection (site collections can each have their own database), and then implement 3rd party web parts that will aggregate searches across multiple site collections. Hope that helps.

There's a plethora of options, from extension services to web parts - I'll paste a couple URL's below: http://www.microsoft.com/enterprisesearch/en/us/search-server-express.aspx (This one is a free extension service provided by Microsoft. I haven't done much with it, but the rumor is that it enables cross site collection searching.) http://www.kwizcom.com/ProductPage.asp?ProductID=215&ProductSubNodeID=218 http://www.kwizcom.com/ProductPage.asp?ProductId=702 http://www.lightningtools.com/pages/lightning-conductor-web-part.aspx http://botack.spaces.live.com/blog/cns!511C23DAA9FCB28F!204.entry?wa=wsignin1.0&sa=966236325 And then of course, if it's a particular content type and you're relatively development-saavy - you can write a custom web part that will enumerate the items across the various site collections via the object model and display them (see the last URL). Hope that helps.
